Responsibilities
Provide communications, writing, and administrative support under the administrative workstream
Support multiple marketing campaigns simultaneously by collaborating and sharing information across the functional teams managing social media, graphics, publications, and web
Assist team with branding and style management by verifying consistency across created products
Write original content to include articles, web pages, white papers, management reports, meeting minutes, and proposals
Write, compile, and edit weekly, quarterly, and monthly reports that include inputs from across workstreams and program leaders
Use online project management software (including Monday.com) to track project activities, training compliance, and team personnel, directly supporting workstream leads and program manager
Perform audits of websites, publications, and documents that require excellent attention to detail; criteria include validating currency and accuracy of information and aligning content with style guides and business rules
Use website content management systems (include Sitecore) to update webpages
Assist beneficiary education team with reviewing and editing Frequently Asked Questions on a monthly basis
Attend and record minutes during assigned administrative workstream and leadership meetings, to understand the Division’s culture and report any action items to team
Complete light onsite administrative duties such as answering phones, checking voicemails, escorting unbadged staff and visitors, and reserving conference rooms
Provide support for in-person meetings and events including tracking registration activities and preparing agendas or presentations
Use web-based administrative tracker to manage client task management system
Qualification
Required
Bachelor’s degree in communications, public relations, marketing, English or related field, or 5 years of relevant experience in lieu of degree
1 – 2 years of relevant work experience required
Must be self-directed and able to work independently, as well as collaboratively with a multidisciplinary team to develop processes, manage day-to-day workload, and monitor milestones and deadlines
Strong attention to detail
Excellent written and verbal communications skills
Ability to handle multiple projects at a time in a fast-paced environment
Ability to interact with and brief senior leadership as needed
Ability to actively listen in a variety of leadership and administrative meetings, understand areas for collaboration and discussion, and write original content based on specific project requirements
Proficient with using Microsoft Office suite, including Excel, Word, and PowerPoint
Writing samples required
Written take-home assessment may be required
Preferred
Prior experience working with project management software (such as Monday.com, JIRA, or similar) desired, but not required
