Responsibilities

Responsible for managing administrative and operational support for Enrollment Management and Student Affairs departments.
Works closely with senior administrative staff, prepares briefs, agendas, and correspondence for the Vice Chancellor.
Collaborates with staff and faculty to manage and implement planning and coordination of special programs and events.
Administers budgetary and financial functions of both departments, including maintenance of budgets and expenditures.
Administers department's purchasing and accounts payable functions ensuring compliance with budgetary policies.
Provides administrative support to executives, exercising confidentiality, tact, and diplomacy.
Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.
Manages executive's calendar, meetings, travel, correspondence, and budget.
Acts as a resource for colleagues with less experience; responds to complex inquiries.
Identifies, enhances, and follows specific processes and procedures to maximize business efficiencies.
May perform duties related to maintaining an internal website and/or working with social media.

Required

High school diploma or equivalent (such as HSED or GED)
4 years of relevant experience
Excellent organizational skills
Demonstrates ability to maintain confidential information
Strong verbal communication and listening skills

Demonstrates excellent judgment and decision-making skills
Effective conflict management skills

Preferred

Strong interpersonal skills and the ability to handle confidential communications
Ability to develop and maintain a professional, collaborative, and positive spirited environment
Excellent attention to detail
Demonstrates ability to set priorities, manage deadlines, work with diplomacy, poise and efficiency in a highly pressured environment
Extensive experience with calendaring software and Microsoft Office suite
