Responsibilities

Develop comprehensive project plans, defining objectives, timelines, resources, and budget requirements.
Lead and facilitate project kick-off meetings, ensuring clear communication of project goals and expectations.
Oversee project execution, monitoring progress, and making adjustments as necessary to ensure on-time and on-budget completion.
Build, lead, and motivate cross-functional project teams, including internal staff and external contractors or vendors.
Delegate tasks and responsibilities, ensuring that team members understand their roles and are aligned with project objectives.
Serve as the primary point of contact for all project-related communications with HOA board members, homeowners, and other stakeholders.
Develop and manage project budgets, ensuring that expenditures stay within approved limits.
Identify potential project risks and develop mitigation strategies to minimize disruptions and delays.
Maintain thorough project documentation, including project plans, status reports, and meeting minutes.
Establish and maintain relationships with relevant public and private agencies.

Required

Proficiency in project management software and tools to facilitate project planning, execution, and monitoring.
Strong leadership and interpersonal skills, with the ability to motivate and lead project teams.
Excellent communication and negotiation abilities, including the capability to effectively communicate with diverse stakeholders.
Problem-solving and critical thinking skills, with the ability to proactively address project issues.
Strong organizational and time management skills, ensuring projects are completed efficiently.
Bachelor's degree in a relevant field (e.g., Project Management, Business Administration, Engineering, Construction Management, Communications) is preferred.
Proven experience in project management, with a track record of successfully managing projects in the HOA industry or a related field.

Preferred

Knowledge of HOA industry regulations and best practices is a plus.
PMP certification is a plus.

Manage the hiring and performance of vendors while ensuring compliance with FirstService Residential’s policies and procedures including ongoing Vive certification.
Write, create, effectively communicate, and implement guidelines and procedures in support of policies, culture, and operational needs.
Proactively manage the ongoing adherence to all guidelines and procedures implemented.
Seek to use environmentally sustainable materials, processes, tools and supplies.
Perform or assist with any operations as required to maintain workflow and to meet schedules.
May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
Ensure all safety precautions are followed while performing the work.
Follow all policies and Standard Operating Procedures as instructed by Management.
Perform any range of special projects, tasks and other related duties as assigned.
Provide regular updates and reports to designated management team contact(s).
