Responsibilities
Schedule and Coordinate Logistics: Organized logistics for both in-person and virtual meetings, ensuring all necessary arrangements are made, including venue booking, technology setup, and participant notifications.
Disseminate Project Information: Communicated project updates and critical information to partners and stakeholders, ensuring everyone is informed and aligned on project goals and progress.
Document Meetings: Recorded detailed meeting minutes, action items, and summaries to maintain clear and accurate records of discussions and decisions.
Assist with Event Planning: Supported event planning by coordinating venues, setting up audio/visual equipment, and preparing printed materials, ensuring seamless execution of events.
Manage Data and Create Reports: Compiled data and created Excel charts to generate comprehensive reports for project analysis and presentation purposes.
Prepare Informational Materials: Developed and distributed informational materials to stakeholders and the public, enhancing project visibility and understanding.
Track Project Scope, Budget, and Schedule: Monitored project scope, budget, and schedule to ensure projects stayed on track and within allocated resources.
Conduct Project-Related Research: Performed research related to project needs, providing valuable insights and information to support project decisions.
Coordinate Digital Platforms: Managed digital platforms and databases, ensuring efficient storage, access, and dissemination of project information.
Assist in Project Proposals: Assisted in coordinating, tracking, and writing project proposals, contributing to successful project bids and funding opportunities.
Track Project Activities and Deadlines: Monitored and tracked all project activities and deadlines, ensuring timely completion of tasks and milestones.
Provide General Staff Support: Supported staff by maintaining office operations, managing schedules, and coordinating administrative tasks to ensure smooth workflow.
Manage Staffing Schedules: Coordinated staffing schedules to ensure optimal allocation of human resources for project needs.
Coordinate Invoicing and Expenses: Handled invoicing and expense tracking to maintain accurate financial records and support budget management.
Provide Administrative Support: Delivered comprehensive administrative support, including managing communications, organizing documents, and assisting with various office duties.

Required
Bachelor’s degree with an interest in transportation, community/regional planning, natural resource management, renewable energy, environmental/public policy issues, air quality, public involvement, conflict resolution, peacebuilding, or mediation.
Preferred
One to three years of work experience is preferred.
Strong computer skills, proficient in Microsoft Office, and experienced in data management and creating graphics and charts in Excel.
Event planning experience.
Strong scheduling skills.
