Responsibilities
Provide high-level administrative support for the regional leadership team including but not limited to:
Provide clear communication.
Manage and maintain regional leadership team's schedule.
Conserve RLT time by reading, researching and routing correspondence; draft letters and comments; collect and analyze information; initiate communications.
Review work to check for correct spelling and grammar; ensure that the company format policies are followed and recommend edits.
Perform desktop publishing; create and develop visual presentations in PowerPoint and complex reports in Excel.
Coordinate activities of the regional leadership team where appropriate to maximize their efficiency and time management.
Handle complex travel logistics and arrangements and processes expense reports for the local leadership team as needed.
Successfully handles a high volume of work and balances priorities to meet established deadlines.
Plan and handle calendar for leaders supported by this role including agendas, and email. Maintain a strong understanding of organizational and department objectives in order to appropriately filter and prioritize incoming information and meeting requests.
Assist with coordinating special events and company sponsored functions such as the annual company meeting and holiday party; manage RSVPs for AP sponsored meetings or events.
Review contracts for readiness of Regional President's signature.
Prioritize, compile and batch monthly reports for effective review by Regional President.
Generate a weekly proposal schedule / recap.
Provide additional administrative support for other departments as needed including but not limited to:
Providing back up for the front desk
Region's satellite offices
Other duties as assigned.

Required
5+ years of providing executive administrative support experience to multiple departmental leaders; bachelor's degree preferred.
Current Notary Public or the ability to become a Notary Public.
Experience working in the A/E/C industry preferred.
Advanced skills with Microsoft Office Suite including Word, Excel, PowerPoint, Outlook.
Ability to handle confidential information with discretion.
Demonstrated integrity and ethical standards.
Developed skills (written, oral, and listening) to effectively communicate with diverse audiences.
Ability to efficiently manage multiple projects and priorities simultaneously under time constraints.
Excellent interpersonal skills with the ability to build successful and lasting relationships.
Availability during non-traditional work hours; occasional calls and coordination needed during evening and weekend hours.
Demonstrated high attention to detail.
Preferred
Bachelor's degree
Notary Public certification
Experience in the A/E/C industry
Experience in providing administrative support in the construction industry
