Responsibilities

Work collaboratively with the CCO and Contract Manager to establish a plan for the program, performance expectations, and operational objectives.
Provide day-to-day leadership of a team of customer support, help desk, analysts, and data and remitting managers.
Oversee day-to-day operations of the FedRooms program, including reservation management, billing, and customer support.
Develop and execute strategic plans to enhance the FedRooms program, aligning with the goals and objectives of GSA and federal agencies.
Set goals and objectives for the team and provide guidance on how to achieve to ensure they know what is expected in their position, on the contract, and in the company.
Analyze market trends, customer feedback, and industry best practices to identify opportunities for program improvement and expansion.
Cultivate and maintain relationships with hotel suppliers to ensure the availability of quality accommodations at competitive rates for federal travelers.
Review list of targeted hotels and adjust accordingly to meet the goal of Crown/Diamond properties.
Negotiate contracts, rates, and terms with hotel partners to maximize value and savings for the government. Ensure we are meeting the sales and revenue objectives outlined in the contract.
Conduct audits of the program to confirm hotel compliance with the negotiated terms and conditions.
Monitor program performance metrics and KPIs to track success and identify areas for optimization. Create action plans as needed to address metrics below expectations.
Implement processes and procedures to streamline operations and enhance the user experience for federal travelers.
Ensure compliance with federal travel regulations, policies, and guidelines, including the Federal Travel Regulation (FTR) and GSA policies.
Develop and maintain program documentation, including SOPs, training materials, and policy updates.
Provide exceptional customer service to federal travelers, addressing inquiries, issues, and feedback in a timely and professional manner.
Collaborate with stakeholders, including federal agencies and travel management centers, to address their needs and requirements effectively.
Meet quarterly with the contract team to identify where the program needs to go over the next three to five years and develop new methods, processes, or technologies to drive the program to these objectives.
Conduct quarterly business reviews with the client.
Travel to meetings and conferences as needed.
Process timecards and time off for payroll.
Develop, mentor, and lead employees to foster an environment of teamwork and accountability.
Provide constructive feedback and identify areas of improvement for team and work to develop objectives to meet these needs.
Conduct weekly individual and team meetings.
Conduct performance appraisals and disciplinary documentation on team, in accordance with HR policies and procedures.
Participate in the recruiting process by interviewing and selecting new employees.
Be knowledgeable and trained in direct reports duties and be able to perform the job functions as needed.
Become knowledgeable in the client and ADTRAV's industry and customer base.
Utilize various applications, including project management specific tools, and various internal applications.
Represent ADTRAV by embracing the company values and maintaining effective working relationships with employees, partners, vendors, and clients.
Adhere to company policies and procedures.
Other duties as assigned.

Required

Bachelor’s degree in Business Administration, Hospitality Management or related field required. Master’s degree preferred.
At least 5 years of experience in program management, preferably in the hospitality or travel industry.
2+ years’ experience managing a team.
Strong knowledge of federal travel regulations, policies, and procedures.
Experience with project management tools.
Experience with Microsoft Office suite (Outlook, Word, Excel).
Proven ability to manage multiple projects simultaneously and drive results in a fast-paced environment.
Experience negotiating and managing contracts.
Demonstrated presentation and people skills; able to engage with all levels of associates and clients.
Hands-on, highly organized and directed leader.
Highly initiative-taking leader, able to manage program strategies, and plan, organize, and implement processes with minimal supervision.
Analytic and decisive with ability to prioritize and communicate objectives.
Exhibits leadership traits to motivate, communicate, and provide feedback.
Exercises discretion and judgment when providing feedback, guidance, clarification, and disciplinary action.
Excellent time-management and organizational skills.
Ability to communicate ideas and concepts clearly and concisely, while also being open to receive feedback and direction as needed.

Ability to work remotely and meet the company home-office requirements.
Able to travel up to 30% as needed for client and company meetings.
Able to maintain confidentiality of company and client information.
Able to successfully pass a credit, criminal, and/or employment reference background check.

Preferred

Master’s degree in Business Administration, Hospitality Management or related field.
Experience in managing programs related to federal government contracts.
Certification in project management (e.g., PMP).
Experience in the hotel industry.
Experience working with GSA or federal agencies.
Experience in conducting audits and compliance checks.
Experience in developing and maintaining program documentation.
Experience in negotiating contracts with hotel partners.
Experience in conducting performance appraisals and disciplinary documentation.
Experience in recruiting and interviewing new employees.
