Responsibilities

Remote Office Administration: Oversee remote office operations, including managing virtual office tools, software, and communication platforms. Develop and implement efficient remote office policies and procedures to enhance productivity and streamline workflows. Ensure all remote team members have necessary equipment and resources for optimal performance
Vendor Management: Manage relationships with remote service providers and vendors, ensuring seamless delivery of services and products. Negotiate contracts, coordinate services, and ensure timely payments for remote services
Human Resources Support: Assist in remote recruitment efforts, including scheduling virtual interviews and facilitating remote onboarding processes. Maintain remote employee records and assist in administering HR policies and procedures in a virtual environment
Financial Management: Assist with remote financial tasks such as expense tracking, invoice processing, and budget management using virtual tools and software. Work closely with the finance team to reconcile accounts, prepare financial reports, and ensure compliance with financial policies in a remote setting
Executive Support: Provide remote administrative support to executives, including managing virtual calendars, scheduling virtual meetings, and handling remote correspondence. Prepare and distribute virtual agendas, presentations, and other materials for remote meetings and conferences
Communication and Coordination: Serve as a central point of contact for internal and external stakeholders in a remote environment, facilitating virtual communication and collaboration. Coordinate remote team activities, ensuring effective information sharing and project coordination across different time zones

Required

Proven experience as an office manager or administrative professional, preferably in a remote or virtual work environment
Strong organizational skills with the ability to multitask and prioritize tasks effectively in a remote setting
Excellent communication and interpersonal abilities, with a customer service-oriented mindset in a virtual environment
Proficiency in virtual collaboration tools, Google Drive Suite, and remote office management software
Ability to maintain confidentiality and handle sensitive information with discretion in a remote work environment
Adaptability and willingness to independently own work and thrive in a fully remote startup environment

Preferred

Knowledge of HR regulations and compliance standards is a plus
