Responsibilities

Responsible for administrative aspects of assigned projects from award through completion including planning, scheduling, subcontractor and material procurement, installation, invoicing, and close-out.

Coordinate project requirements, related field tasks and activities with the Field Project Manager.

Maintain accurate and up-to-date records of job status, job changes, material flow, and other control records necessary for processing internal and external reports.

Enter data for new projects and change orders into the accounting system.

Provide project financial oversight including forecasting revenue, monthly invoicing, cashflow, and budget vs cost reviews (WIP reviews).

Establish project milestones and analyze costs; Exposure to financial systems to review actual vs. estimated job cost and to provide timely and accurate project cost reports; identify reasons for low job site productivity and determine impact on the project; adjust or correct project plan and/or project cost estimates as necessary to meet financial goals.

When required, coordinate with Design Team for project design requirements.

Coordinate the procurement of materials, supplies, and subcontractors necessary for timely and cost-effective completion of the project within budget.

Proactively communicate project schedules, project change proposals, and related project activities on a regular basis with customers and seek to continuously improve customer satisfaction.

Work with Accounts Receivable team to ensure timely payment from the customer.

Act as 'our customer’s best service provider' by providing timely updates on projects, quickly addressing concerns, and regularly seeking feedback on our performance.

Identify potential project risks and develop/implement strategies to minimize impact and control deviations from estimated costs and project deadlines.

Perform other duties and responsibilities as requested or required.

Required

Bachelor's degree in Business Administration, Project Management, or related field

2+ years of experience in project coordination or related field

Experience with project financial oversight including forecasting revenue, monthly invoicing, cashflow, and budget vs cost reviews

Ability to maintain accurate and up-to-date records of job status, changes, material flow, and control records

Strong communication skills to proactively communicate project schedules, change proposals, and project activities with customers

Ability to identify potential project risks and develop strategies to minimize impact

Experience coordinating project requirements with field project managers and design teams

Proficiency in entering project data and change orders into accounting systems

Capability to coordinate procurement of materials, supplies, and subcontractors for project completion within budget

Demonstrated ability to adjust project plans and cost estimates to meet financial goals

Excellent customer service skills to ensure customer satisfaction and timely payment

Strong analytical skills to analyze project costs and productivity
