Responsibilities

Interact with clients with empathy and compassion, providing a supportive and non-judgmental environment for patients, ensuring patient comfort and safety.
Research, compile, and analyze data to prepare programmatic and administrative reports.
Relay and interpret management directives to staff.
Participate in the conduct of studies and special projects and prepare reports on findings.
Study office operational processes and recommend procedural changes to improve efficiencies.
Create and maintain databases and spreadsheets using various software packages.
Edit and proofread documents and reports.
Draft correspondence for supervisor’s signature.
Order and maintain materials and supplies and resolve problems with vendors.
Respond to inquiries or complaints from the general public and explain departmental policies.
Research costs and analyze expenditures to assist in the preparation of the annual budget.
Maintain basic accounting and petty cash records for office-related expenditures.
Assign and review the work of staff engaged in performing a variety of clerical and customer service functions.
Coordinate office support services.
Establish and implement work standards and clerical and administrative procedures and ensure standards are met.
Provide instruction and training to staff on work operations and evaluate their performance.
Prepare employee work schedules.
Assist staff in resolving complex or sensitive operational work problems.
Prepare various work reports regarding office expenditures, work operations, and staff activities.
Interpret personnel policies and procedures to staff.
Attend meetings in the absence of the supervisor.
May participate on task force committees to evaluate existing processes and recommend methods to improve systems.

Required

Three years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.
Good knowledge of office management, administrative procedures, and practices
Excellent interpersonal and customer service skills
Excellent organizational skills and attention to detail
Excellent verbal and written communication skills
Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
