Responsibilities

Monitors, reviews, and approves department transactions in B2P, Concur, GL-PCR salary journals. Liaises with the HSDM grant team on sponsored activity and transactions.
Ensures compliance with Harvard University financial policies, procedures, and applicable legal rules and regulations when processing payments, reimbursement, advances, travel, and general accounting.
Serves as an important source of information on complex fiscal policies and procedures including federal funding rules, and advises faculty, students, and staff on existing options or alternatives, effectively recommending courses of action on fiscal matters.
Serving as the school's local university card administrator (PCard, Corporate Card, Department Card) reviews submissions, interpret applicability of expenses to financial policies. Research discrepancies and corrects as necessary.
Acts as a resource for departments on transactional inquiries and financial/budgetary questions that require problem-solving and analytic capability. Provides regular and ad hoc basis financial information to faculty, administrators, and team members.
Ensures that payments are made based on proper authorization, supported by sufficient documentation, and allocated to appropriate accounts/funds.
Assists in the maintenance of vendor accounts and ensures timely clearance of outstanding payables and receivables and resolution of expense discrepancies.
Produces financial reports, including annual, monthly, quarterly, and ad hoc.
Review credit vouchers and accompanying checks/deposit slips for Cash Receipts delivery. Liaise with Cash Receipts to resolve discrepancies.
Analyses monthly and year-end close data and prepares variance analysis to ensure accuracy of financial statements.
Assists in the performance of audit functions to ensure accuracy and compliance with internal and external regulations.
Assist in fixed assets management process, including analysis of the type of equipment to be purchased, the anticipated useful life of the asset, and classification of the asset in Oracle; and reconciliation of general ledger balance sheets and Oracle assets.
Assists in Quarterly Reporting Review process for FAR
Performs other related duties as assigned or requested.
Assists in maintain costing budget records in HUBS up-to-date, reconciling HUBS and PeopleSoft data every month
Assists with the annual budget process and multi-year forecasts
Provides analytical and reporting support for the budget process, year-end reporting, and overall financial management
Works closely with department managers and staff to effectively manage the School’s finances
Prepares complex financial reports and analyses, including ad hoc reporting using SmartView, OBI, and excel
Trains department users in budget and analytical reporting tools
Assists departments with financial reporting
Performs other related duties as assigned or requested.

Required

Bachelor’s degree or equivalent work experience required
Minimum of 3 years’ relevant work experience
Strong financial skills, attention to detail and the ability work independently
Ability to communicate effectively verbally and in writing with professionalism and a customer service mindset
Excellent technical skills including in-depth knowledge of Microsoft Excel and other financial analysis and reporting tools. Working knowledge of financial administration principles, compliance workflow, and business processes
Strong attention to detail and exceptional organizational skills, with a demonstrated ability to prioritize and perform multiple tasks
Contributes to the mission and vision of HSDM and models the School’s core values in all facets of the work. Promotes a customer service environment, including providing support to multiple constituents including faculty, staff, and students
Ability to successfully pass a comprehensive background check at hire
