Responsibilities

With a strategic lens, edit and analyze data and other pertinent information as requested to assist in the preparation of information and reports for both internal and external meetings and events.
Prepares high-level professional reports and presentations as guided by the AVP. Determine materials required, evaluate quality, and compose communicative materials as required for varying stakeholders (internal and external).
Corresponds with all participants on agenda and subject of meetings with materials for background.
Acts as the main point of contact in setting priorities for the AVP relating to appointments, itinerary, communications, and travel arrangements.
Coordinates all logistical, protocol, and administrative arrangements for meetings and special events and ensures all necessary documents and materials to support the AVP are provided in advance of the meeting.
Ensures effective and appropriate access to the AVP and utilization of their time by managing and maintaining a complex calendar, keeping appointments, and meetings on time; arranging a variety of routine and non-routine meetings; and responding to invitations on behalf of the AVP.
Provides administrative support when needed for various work groups, projects, and committees that are periodically organized and needed for the AVP.
Acts in a capacity as project manager, under the general guidance from the AVP, prioritize and allocate projects and inquiries to the appropriate stakeholders with UCF Global.
Working independently, conducts research and composes regular, non-routine and sensitive, often confidential correspondence relative to projects, programs, and meetings. Upon request, takes meeting notes, prepares final documents for the AVP's review. Prepares other written correspondents or documents as needed. On behalf of the AVP, creates, reviews, and proofs highly sensitive documents for grammar, editing, and content prior to them being signed and sent out.
Research opportunities for grants and organizes meeting to delegate tasks related to grant writing and submission.
Reviews, analyzes, and revises highly sensitive drafts of correspondence for the AVP involving UCF Global administrative and policy decisions and other related policies and procedures.
Performs other related duties as assigned.

Required

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.

Preferred

4-6 years of relevant experience in an administrative role, preferably within a higher education setting.
Proficiency in MS Office Suite, including Word, Excel, PowerPoint, Teams, and Outlook.
Advanced Excel skills for data analysis and present findings effectively to various audiences.
Proven experience supporting executive level staff.
Strong written and oral communication skills, with the ability to interact professionally with internal and external stakeholders.
Above average customer services skills.
Strong organizational skills, capable of managing multiple tasks and projects.
