Executive Assistant to the Dean

Responsibilities
Provides executive assistant-level support for the Dean; including scheduling/calendaring, meeting coordination, and serving as the designated contact and representative for the Dean to the university and other external agencies with authority to make decisions within established practices and policies.
Serves as the gatekeeper and first point of contact for the Dean.
Frequently communicates with other university offices and/or outside agencies to request or provide information.
Independently composes, prepares, and/or edits correspondence and reports containing information that requires thorough knowledge of policies, procedures, and data sources. Provides information to the Dean in collaboration with communications staff; develops documents, text, and data appropriate to project needs. Routes and signs Dean's name to correspondence within limits of authority; independently composes letters on behalf of the Dean.
Work with key stakeholders such as the event organizers to develop scripts for Dean's speeches and remarks at key events.
Assists the Dean in cultivating donor relationships through correspondence and coordination of donor stewardship, receptions, and events.
Facilitates and plans meetings and events; prepares agendas, attends meetings, and takes or distributes notes as necessary; independently plans, organizes, and implements special projects as needed.
Makes travel arrangements for the Dean; prepares and expedites travel authorizations and reimbursements.
Screens correspondence, records, and other documents for appropriate action and works with the Dean's office team and Senior Leadership to determine proper responses or to resolve problems; makes referrals as appropriate.
Reviews, routes, and/or responds to incoming correspondence and relays important information to the Dean as needed.
Stays abreast of changes to university policies and procedures and provides education and outreach in regard to updates.
Serves as a representative of the Dean as assigned, working effectively with internal and external constituencies.
Coordinates special projects and events as assigned, involving faculty, staff, and external constituents.
Performs related duties as assigned.

Required
Bachelor's degree and four to five years of related experience. An equivalent combination of education and experience may be substituted for the degree and years requirement.
Excellent writing and communication skills as demonstrated through examples of professional written work.
Demonstrated time management skills with proven ability to prioritize responsibilities.
Demonstrated understanding of the principles of diversity, equity, and inclusion and the ability to work collaboratively with individuals of diverse backgrounds, experiences, and perspectives.
Demonstrated commitment to customer service and strong interpersonal, oral, and written communication skills.
Demonstrated aptitude for accurate, organized, detail-oriented work.
Demonstrated ability to manage multiple tasks and projects with deadlines in a busy environment.
Ability to work independently with minimal supervision, collaboratively, and as a facilitator in a team environment.
Extensive experience with Microsoft Office Suite, especially Outlook calendaring, SharePoint, and Teams management.
Preferred
Master's degree.
Experience providing executive-level support.
