Responsibilities
Set up and manage paper and electronic filing systems.
Create, maintain, and enter information into databases.
Maintain scheduling of event calendar
Schedule and confirm appointments for participants, staff, and supervisors.
Order office supplies from HPC storeroom
Prepare correspondence, reports, and other documentation.
Assisting with reports, data collection and data entry
Manage the logistics of virtual meetings including Webex and Zoom
Welcome and engage participants in the OnTrack Program
Arrange for transportation for participants when necessary.
Coordinate with community providers for participant linkages and requests for records
Maintain required certifications/trainings for OTNY staff in accordance with applicable regulations, including but not limited to staff professional licensure, CPR/First Aid and Partnering for Safety trainings etc.
Processing paperwork as needed for the program.
Respond to or triage all program inquiries.
Organizing materials for trainings.
Respond to incoming calls and refer callers to appropriate staff.
Respond to questions concerning policies or procedures.
Other tasks necessary for the smooth operation of the program.
