Responsibilities

Maintain appointment schedule concerning meetings, luncheons, conferences, discussions, etc.; reminding officer of appointments, as required.
Exemplary customer service skills, dealing effectively with guests, in person/phone.
Responsible for making discretionary decisions and interfacing with all appropriate departments.
Delegate tasks and assignments to personnel as requested by the VP.
Ensure the timely implementation and execution of tasks and assignments as instructed by the VP.
Completion of other various special projects as directed by VP.
Maintain a comprehensive calendar file to ensure required reports are properly prepared and submitted on a timely basis.
Retrieve and screen mail. Correlate and distribute incoming/outgoing mail. Review incoming mail to identify those requiring priority attention.
Type letters, reports, memoranda, and other company related forms. Proofread and verify all documents produced. Gather reference materials and assist in preparation of supportive documents.
Collect data and assist in preparing reports. Maintain a current set of records and files.
Make travel arrangements and travel schedules for F&B Partners and staff.
Coordinate and make customer (internal & external) reservations.
Monitor department’s operational expenses to ensure that it is within the established budget. Keep inventory of supplies and replenish as needed under budgeted expense goals. Order all office supplies.
Process payment of invoices, prepare check requests and expense reports.
Maintain confidentiality of sensitive materials; salaries, coaching and suspensions.
Must be able to meet the attendance guidelines of the job and adhere to departmental and company policies.
Other duties as assigned.
Manage schedules and events for VP F&B and VP Culinary.
Assist with formatting and printing of menus and signage.
Coordinate communication and tasks with a variety of internal / partner departments, including but not limited to facilities, marketing, HR, employment and hotel teams.
Answer and screen telephone calls and refer inquiries to other areas.
Maintain a record of important phone calls.
Greet visitors; ascertain nature of business, and direct visitors to appropriate person.

Required

High school diploma or equivalent required; Bachelor’s Degree preferred or equivalent work experience.
Five years previous experience as support staff preferred.
Must have proven accountability when working with confidential information. Proficient skill with personal computer software packages to include Microsoft Word, Excel, and PowerPoint required.
Must possess excellent communication skills, oral and written, as well as excellent interpersonal and problem-solving skills.
Must be highly organized and possess the ability to handle multiple assignments in a fast-paced environment.
Must have a professional appearance and be a team player.
Must be able to sit for prolonged periods of time, 6 – 8 hours.
Must be fluent and literate in English.
Must be able to respond calmly and make rational decisions when handling guest and employee conflicts.
Must be able to stoop, bend, as well as maneuver through all areas of the department, casino, and hotel to perform tasks as assigned.
Must be able to lift and carry a minimum of 10 pounds.
Must have the manual dexterity to grab, grip, type, pull, hold, tear, sort, and reach, as well as operate office and computer equipment such as telephones, photocopiers, postage and fax machines, personal computer.
Must be able to tolerate areas containing second-hand smoke, dust, loud noises, and bright lights.
Must be able to walk long distances.
Must be able to work a varied schedule including weekends and holidays as needed.

Preferred

Bachelor’s Degree preferred or equivalent work experience.
