Responsibilities
Contributes to the excellent reputation of the Legal Department and all team members through proactive, professional, friendly, and respectful interactions internally and externally.
Serves as a credible, reliable, and high-achieving administrative partner.
Provides administrative assistance to the Senior Vice President and General Counsel, the entire Legal Team, and others as assigned by the Senior Vice President to improve the efficiency and effectiveness of the team overall.
Always maintains confidentiality.
Serves as a direct ambassador for the department; welcomes the Legal Team's guests and customers by greeting them (in person or on the phone) and answering or directing inquiries.
Supports the risk management insurance function in insurance renewal, billing process, and tracking; other duties may be included.
Handles bill payment, tracking, and budgeting.
Supports department record retention.
Maintains Legal department SharePoint site.
Prepares, proofreads, answers, and composes PowerPoints, materials, and correspondence including Board of Directors-related and/or other partner-related materials.
Listens to Ethics Line messages and directs them to appropriate legal team member.
Responsible for opening, closing, and maintaining files of departmental matters (including litigation) on specialized computer databases.
Responsible for development and administration for special projects as assigned to support the General Counsel and other Legal team members.
Demonstrates flexibility in work schedule required to meet the demands of the position.
Responsible for scheduling and managing the calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling Legal meetings, and maintaining an organized office.
Performs general administrative duties to include scanning, copying, faxing, filing, and data entry; collects and opens mail addressed to the Legal team and forwards correspondence to appropriate staff for action.
Coordinates and plans arrangements to ensure successful internal and external meetings such as room reservations, meal selections, lunch/dinner reservations, travel arrangements, presentation aids, etc.
Maintains office supply inventory shared by the administrative area by checking stock to determine inventory level, communicating regularly with the other EAs, anticipating needed supplies, evaluating new office products, placing and expediting orders for supplies, and verifying receipt of supplies.
Contributes to the wider Legal team effort by accomplishing related results as needed; regularly attends EA community meetings to promote inter-functional communication and cooperation.
Facilitates Legal and Customer Experience release review.
Facilitates direct outside Legal review of SC Agreements-Power App (working with Supply Management).
CLE submissions.
Distribution Agreement organization.
Assists with Enterprise Risk Management.
