Responsibilities

Track and manage potential clients through the business development pipeline.
Assist with preparing proposals, contracts, and other key business development tasks.
Be central hub of information for internal operations team.
Oversee client onboarding processes, ensuring smooth transitions for our clients.
Manage onboarding for new team hires and new vendors, including setting up accounting, HR, and training on company policies and systems.
Lead and support the development of projects across various operational functions, including initiatives to build company culture.
Collaborate across departments, working closely with the Accounting team to integrate Business Development systems, Onboarding systems, and HR tracking tools.
Implement miscellaneous projects across departments, such as project managing website updates or helping to create impact report and marketing materials.
Become the in-house expert on internal systems and processes, including vetting, learning, and troubleshooting the technologies we use.
Work with COO on improving processes and implementing & communicating changes.
Document and maintain clear, up-to-date records of company processes.
Implement daily, weekly and monthly administrative tasks including maintaining up-to-date filing systems and key company documents, emailing clients and team on key administrative needs, renewing company insurance, and so forth.
Support implementation of team building experiences, including annual retreat planning and execution, monthly team meetings and gifting.
Track and implement HR processes.
Support internal and external communications, including copywriting emails, editing key marketing materials and other social media communications.

Required

Exceptionally strong project management abilities with a proven track record of delivering tasks on time and with attention to detail.
Experience in designing, implementing and improving operational systems across departments.
Excellent verbal and written communication skills and a direct and transparent communication style.
Highly organized with impeccable follow-through.
Roll-up-your sleeves, can-do attitude while working on high-level systems or administrative tasks.
Comfortable managing multiple projects at a time, and working with shifting priorities in a fast-paced work environment.
Ability to work independently and collaboratively.
Very comfortable with Google Suite (including spreadsheet work and basic design skills in Slides and Docs), Microsoft Office, and DocuSign, and a high comfort level for learning new technologies.
Ability to travel to Woodacre, California as needed. We estimate 2-3 times per year for 2-3 days each time.

Preferred

Strong marketing and communications skills, social media experience.
Tech stack selection, management and implementation.
