Responsibilities
Respond to text messages, phone calls, voicemail, and e-mails in a timely and professional manner
Keep organized records of regional documents (electronic or paper)
Send regular emails and/or mailers to regional donors and committee members
Weekly email/blog communication with Regional Staff indicating upcoming deadlines, calendar items, tasks at hand, best practices, etc.
Communicate new mission policies and procedures to regional staff in a timely and professional manner.
Analyze and interpret policies and guidelines set up by the regional director and/or the administrative offices of the Service Center in order to resolve problems and answer questions in the absence of the regional director.
Interact with all area and regional staff, committee, volunteers, and regional management teams.
Serve as a liaison between the staff and Service Center, explaining policy and forms, etc.

Process and track regional donations
Manage monthly expenses and budgets, including regional rent payments, bank account records, and purchase card expenses
Provide personnel support for regional staff, including managing job postings, job applications, regional interviews, and facilitating the hiring process for new hires
Manage other personnel action requests and Human Resources actions (changes in title, pay, hours, etc.) for regional staff
Provide fall weekend camp administration, including but not limited to: managing area allocation and monitoring registrations, tracking adult guest registrations, tracking work crew reservations, and completing all billing after conclusion of the weekend
Provide annual summer camping administration, particularly for single-staffed areas and volunteer-led areas
Provide staff care including birthday celebrations, assignment care packages, etc.
Manage and execute area transfers
Manage Mission Security and Responsible Party applications for staff within the region.
Helping areas manage administrative deadlines; ministry reporting, camp allocation requests, volunteer leader compliance, etc.
Assist regional director with workload, including but not limited to: Provide data for various ministry metrics (club, campaigners, kids known by name, volunteers, school season and summer camping)
Summer camp allocation and summer work crew allocation
Collect annual goals from staff; help facilitate supervisory rhythms
Collect annual performance evaluations from supervisors with merit-based pay increase recommendations
Determine compensation increases for all regional staff; communicate pay increases to supervisors
Facilitate annual budgeting cycle, assisting areas with this process as needed
Visualize and reconcile (if needed) cash balances for areas within the region on a monthly basis and at the end of each Fiscal Year (FY)
Verify regional statistics electronically via the Young Life’s reporting systems; YLConnect, Camping statistics, etc.
Facilitate paperwork to open, close, rename, or reclassify Mission Units, Cost Centers, Supervisory Organizations, and/or ministries across the region
Plan, Coordinate And Facilitate Regional Events, Including 2 times per year - Regional staff training days (approx 50 staff)
3-4 times per year - Regional overnight meetings (Fall Staff Gathering, Area Director Overnight, Women’s Overnight, Spring Staff Gathering with Spouses Invited) - Ranges from 20-50 staff and up to 100 attendees when spouses are invited
2 times per fall - Regional Weekend camps
Every 2 years - Committee Chair Summit with >=75 attendees
Every 2 years - Regional Volunteer Leader weekends with >=300 attendees
Provide Administrative training to all staff and volunteers within the region, regarding various Young Life processes, programs and applications.
Provide monthly or bi-monthly training/office hours for area administrators.
Assist with additional work from area and regional staff.

Required
Proficiency in Microsoft Office Suite (which includes Word, Excel, and PowerPoint) and Google drive, docs, and sheets
Good computer skills; able to learn Young Life web systems and programs (Salesforce and Workday are primary)
Strong organizational skills with attention to detail and processes
Ability to effectively prioritize tasks according to level of importance and timelines at hand; effectively handling concurrent tasks with frequent interruptions
Strong written and verbal communication skills, including strong grammar skills
Ability to maintain confidentiality and handle difficult HR situations with maturity
Basic accounting skills
Proven relational skills with both kids and adults
Ability to develop processes/systems around events; including timelines, task lists and budgets.
Great customer service skills
3-5 years experience as an administrator or equivalent required
Ability to maintain confidentiality
Ability and experience in working with executive leadership
Ability to analyze complex problems, devise logical and creative solutions, and empower people to implement them
Excellent organizational skills with attention to detail and the ability to handle concurrent tasks and constant interruptions
Demonstrated proficiency in online computer applications (Microsoft Office Suite, etc.)
Strong written and verbal communication skills
Essential accounting and spreadsheet skills
Ability to be self-motivated and proactive to manage multiple projects, deadlines, and priorities
Must be able to establish and maintain healthy, effective working relationships with other Young Life field staff and offer excellence in support to staff and the public
Must represent Young Life in a professional and courteous manner
Ability to manage and lead others from a distance
Preferred
BA or BS preferred with at least three years as an administrative assistant with a large company or large church/ministry involving office management, public contact and research and writing experience
Knowledge of Young Life’s culture and operations preferred
Ongoing education encouraged
