Responsibilities

Analyze enhance and optimize workflows policies and procedures within the sales department.
Oversee operational and administrative support of top-tier distribution and sales operating model.
Plan and track throughout the year commission plans annual budgeting for conferences and overall T&E spend for all global distribution related functions.
Maintain process around tracking and reporting of the global pipeline of current and prospective clients across strategies.
Provide subject matter expertise on business processes data mapping and system configurations of sales related data sets.
Ensure that various business development functions maintain calendars and CRM (Salesforce) of all prospecting meetings.
Manage the operational aspect of on-boarding new employees and transitions of existing employees.
Support the creation of investor updates pitch decks conference submissions hiring requests and presentations in conjunction with the sales department.
Create and maintain profiles of current and prospective relationships with different client types (i.e. RIAs Broker Dealers Strategic Partners etc.).
Oversee all sales related conference & events planning and management.
Oversee event proposals and process which allow Guggenheim to make business decisions around conference attendance sponsorship internal / external invitation lists speaking engagements media coordination and budgeting.
Maintain calendar of national sales conferences and events.
Provide conference / events related reporting and feedback to sales and GI leadership.
Maintain schedules internal database and reporting for all sales conferences & events.
Build-out conference / event request process including agendas communications post-event surveys RSVP reports budget management etc.
Coordinate with Business Unit heads to curate invitation lists & track RSVPs.
Work with compliance to ensure all external invitees are vetted and approved to receive invitations to GI hosted conferences / events.
Work with Sales team and management to plan budget and track what conferences we should be attending and all administrative/ operational support around conferences / sales events.
Work with sales managers to produce event evaluation summaries and recommendations.
Provide administrative leadership to conference / sales event coordination including invites event planning brand presence as well as post conference follow ups with Sales team.
Coordinate meeting and tradeshow shipments and printing requests.
Coordinate and set-up Webcasts and conference calls.
Prepare program specifications (menus setup AV etc).
Responsible for event wrap-up tasks including invoice tracking and budget reconciliation drafting post-mortem documents attendee surveying and other tasks necessary to mark events as closed.
Develops and maintain CRM documentation policies and procedures.
Oversee and look for ways to innovate CRM system (i.e. Salesforce and client relationship systems).
Support sales CRM process improvement initiatives and develop actionable reports and dashboards for sales and business leadership.
Creates and manages CRM reports dashboards and analytics that provide insights and recommendations to the sales leadership and other stakeholders.
Maintain data integrity within customer records in Salesforce.com and other systems.
Analyze and document business processes and requirements for CRM system features and enhancements.
Provide CRM training and coaching to sales and customer-facing teams.
Communicate effectively with internal and external stakeholders and provide regular updates on the status and progress of the CRM system.
Work with developers and testers to ensure that the CRM system meets the business and technical specifications.
Assist with tracking reporting and analysis of data to measure the effectiveness of Distribution’s customer and distribution management programs.
Ensure institutional and intermediary sales personnel are keeping Salesforce up-to-date and providing thorough content on all prospect and client interactions; review/maintain Salesforce.
Enhance Guggenheim’s CRM database with third party external data to help generate new business opportunities prospect lists and target segments.
Develop new and/or enhanced standardized reporting processes.
Territory Channel Goal Setting - work with Distribution Management to use current sales data and current year run rates as part of the territory goal setting process.
Track and report commission plan vs model.
Create reporting and tracking mechanism for sales goals and track results.
Create and Implement reporting and dashboards for the sales organization that focuses on improving efficiency effectiveness and productivity.
With Head of Distribution and Channel Managers periodically review sales territories and production and resources.
Work with team to provide consistent sales reporting across the organization as well as support ongoing sales plan analysis and data stewardship.
Track performance comparing and analyzing actual results with plans & forecasts.
Provide analytical support required for the development and tracking of sales data commissions goal tracking and campaigns for the Distribution team.
Work with Distribution and Business Management to organize processes to set sales goals by product channel region territory and sales person.
Oversee a team responsible for Daily review of trade identification and other data received from multiple sources including from internal sales and contact management systems internal shareholder trading systems firm-supplied trade and identification files and from internal sales management (including for territory re-alignment).
Research records flagged through automated stewardship; determine needed adjustments through lookup using internal stewardship sales trading reporting and other systems; Web searches; FINRA databases; and firm-supplied data.
Call external firm contacts internal sales management etc. to resolve discrepancies where applicable.
