Responsibilities
Greet and welcome guests and clients in a warm and courteous manner
Answer incoming calls and direct them to the appropriate person or department
Manage and distribute incoming and outgoing mail, emails, and faxes
Maintain a tidy and organized reception area, including conference rooms and common areas
Schedule appointments and update calendars for meetings and events
Handle queries and provide information to clients and visitors
Assist with administrative tasks such as data entry, filing, and typing documents
Monitor and order office supplies to ensure adequate stock levels
Maintain confidentiality and handle sensitive information with discretion
Collaborate with other team members to ensure a seamless and efficient workflow

Required
High school diploma or equivalent
Proven experience as an office receptionist or in a similar role
Excellent communication and interpersonal skills with a customer service-oriented approach
Proficient in Microsoft Office and other office management software
Strong organizational and multitasking abilities
Attention to detail and ability to handle and prioritize multiple tasks in a fast-paced environment
Ability to remain calm and professional in stressful situations
Familiarity with basic office equipment such as printers, copiers, and fax machines
Strong work ethic and a positive attitude
Ability to maintain confidentiality and handle sensitive information with discretion
Preferred
Additional certification in office administration
