Responsibilities
Manage Communications & Customer Service: Answers and transfers phone calls and emails with professional demeanor screening when necessary and responding to certain emails as agreed to between executive(s) and Assistant.
Scheduling & Calendar Management: Coordinates and schedules calendars and meetings for assigned executives including ability to schedule meetings externally.
Administrative & Office Support: Ability to support other executive administrative functions such as travel arrangements, creating and filing expense reports, planning functional and/or company-wide events (e.g. offsites).
Document & Report Preparation: Draft, proofread, and distribute reports, memos, and other correspondence with attention to detail.
Data Entry & Database Management: Maintain accurate records and update relevant databases to ensure up-to-date information for reporting purposes.
Ability to create memos and Power Point based on guidance from Executives. Crisp and clear communication understanding the audience in mind. Able to edit feedback received from Executives into the relevant documents.
Confidentiality: Handle sensitive information with discretion and ensure confidentiality is maintained at all times.
Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions with professionalism and accuracy, and additional administrative tasks as needed support CAA’s mission.
Coordinates and schedules travel, meetings, and appointments as needed.
Performs other related duties as assigned.
May assist in training newly hired administrative staff.

Clear verbal and written communications in English, with strong interpersonal skills and the ability to troubleshoot issues and provide quick solutions.
Excellent ability to manage multiple tasks, prioritize work, attention to detail and ability to meet tight deadlines.
MS Office Suite, MS Teams, Docusign, Salesforce a plus.
Excellent interpersonal and customer service skills.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.
Proven ability to work and succeed in supporting administrative tasks remotely.
Prolonged periods sitting at a desk and working on a computer.
Preferred
Associate or bachelor’s degree in related field preferred.
Three to five years of experience in an administrative role.
