Responsibilities
The Lead Specialist is responsible for coordinating projects for conferences, meetings and events, as assigned by the Director, C&E, such as the variety of specialty meetings and the APHL signature conferences e.g., APHL Annual Conference, ID LabCon and NBS Symposium.
The Lead Specialist is responsible for the assigned day-to-day operations and ensures efficient use of the resources allocated to the area (both financial and human), and that goals, budgetary guidelines and quality standards are met in the course of every assigned event management area.
The Lead Specialist undertakes relatively complex tasks and responsibilities within the area with minimal supervision.
Actively coordinates conference and event planning and delivery process as assigned by Director, C&E.
Helps to establish, develop, enhance, recommend, monitor and maintain all C&E event technology systems.
Works effectively with other program managers and staff to ensure integrated meeting development and delivery.
Employs the use of event technology to maintain and monitor all C&E data metrics.
Oversees and collaborates with staff assigned from APHL Programs to develop and deliver assigned projects.
Works in close collaboration with the Director, C&E and Marketing and Communications (MarCom) staff to develop and implement strategies to deliver a one unified APHL C&E delivery model.
Supports annual C&E strategic plan and contributes to ongoing event timelines and planning process.
Coordinates the meeting and event 'life cycle.'
Contributes to the project prioritization process.
Contributes to the evaluation process of conference and event programs.
Ensures that the accepted industry meeting planning development and delivery model is followed.
As assigned, periodically leads, coordinates and delivers internal and external meetings, as assigned, including budgets, food & beverage, AV production, registration, agenda, travel arrangements and on-site support.
Serves as an active member of cross-functional planning teams for large-scale events that include high-level executives setting timelines, deliverables, goals, objectives, strategy, and project plans.
Fosters a collaborative team environment, delivering high value support to the team.
Ability to effectively manage external vendors and internal stakeholders while establishing collaborative relationships.
Uses electronic applications for attendee management and communication.
Manages attendee communication, registration, travel and accommodations as designated for each conference and event.
Oversees technology areas of project budgets, and overall project budgets for specific events. Tracks expenditures, maintains overall financial records for meeting and event projects and reviews monthly summary statements as appropriate. Routinely be prepared to report on meeting and event status to the Director, C&E.
Coordinates multiple meeting and event product teams to act as a cohesive team in the development and delivery of meeting and event products and services to meet articulated member needs.
Collaborates with the APHL Director, C&E and the Marketing and Communications (MarCom) to market the APHL conference and event activities.
Promotes the mission of APHL through the establishment and maintenance of partnerships with and among the public health laboratory community, academia, laboratory related industry entities and vendors, federal, state and local agencies, and professional laboratory and public health organizations.
Contributes to the event’s marketing, print, and promotional efforts (electronic, print, marketing and web) in conjunction with the communication and marketing team.
Works collaboratively across the association to identify cross-cutting opportunities to deliver conference and event offerings in multiple modalities.

Required
Experienced in multiple event-related technology platforms.
Experienced in direct work with a series of national, regional, or local meetings. Experience with in-person meetings is required and experience with virtual meetings is preferred.
Experienced with direct work in special event or conference planning.
Experienced in managing complex projects and assignments that are broad in nature and usually require originality and creativity in applying the knowledge and concepts of the area of specialization.
3+ years of direct meeting and event planning experience, three years of relevant on the job experience or advanced training or experience. Graduate degree preferred; an advanced degree may be substituted for work experience.
Demonstrated success in event technology, planning and administration experience.
Exhibits high level of competence in office administrative procedures requiring organization and record keeping, and operation of standard office equipment.
Fluent in database administration/data management experience.
Flexibility to travel up to 25% of worktime.
Substantial knowledge of the principles, practices, and procedures of conferences, meetings and events industry as well as proven analytical and project management capabilities.
Strong experience in meeting and event planning; meeting and event industry accepted practices, trends, and principles, hotel operations, administration, financial management, budget development.
Proficient in Microsoft Office Suite (Word, Excel, Power Point, Publisher, and Outlook) and Internet search engines and SharePoint.
Proficient in association member management system (AMS) and website management.
Proficient in electronic-based and paper-based meeting management tools and systems.
Work requires excellent command of English usage, spelling, grammar and punctuation, in addition to mathematical computations.
Working knowledge of meeting management software and applications and other meeting support platforms.
Strong project management and able to work to achieve priorities with little supervision.
Highly organized, flexible, can thrive in a fast-paced environment and handle multiple projects with tight deadlines.
Strong communication skills required with the ability to communicate and collaborate effectively across all levels of the organization and with external collaborators.

CMP preferred.
