Responsibilities

Collaborate with software vendor to set up calls for proposals and speaker nomination processes for Annual Conference, Building Better Business Connections, Career Conversations, European Leadership Summit, SPRINT (accelerated leadership program for underrepresented and/or underestimated leaders), and HBA Academy (LMS) with appropriate notifications throughout the selection process.
Schedule and attend all event content meetings and send out meeting notes and action items to appropriate parties.
Create budget tracking spreadsheet to monitor speaker budgets, keeping team abreast of how we are trending for speaker budgets.
Provide training for relevant parties on utilizing speaker management software.
Respond to speaker and panelist correspondence.
Collaborate with Marketing and Communications to ensure the addition of speakers and content to conference App and microsite.
Provide administrative support to HBA’s Pitch Competition for Women Innovators, including attending planning meetings, working with appropriate staff to set up platform application submissions, monitoring pitch competition email, maintaining project plan in Asana, and distributing meeting notes.
Coordinate volunteer participation for pre-conference seminars, Women of Color Wellness Summit, and mainstage and breakout sessions, and the Host City Impact Project during Annual Conference.
Coordinate volunteer participation with the Host City Impact Project in collaboration with WIH Give Back.
Provide administrative support to HBA Academy, including assisting with speaker management, adding educational programs and resources to the platform as products, and assisting with engagement reports.
Coordinate staff contributions to monthly volunteer newsletters
Post monthly G-Team updates for staff in Microsoft Teams.
Maintain Teams folder that gives staff access to various G-Team resources, such as market research reports, survey data, updates for Board of Directors, etc.

Required

Bachelor’s Degree preferred or Associate’s Degree and specialized training in project management
Proactive cross-cultural communication – Effective verbal and written communication skills across cultures with demonstrated ability to determine the times and formats (e.g., email, phone call, in-person) to connect with HBA internal and external stakeholders to ensure appropriate levels of awareness about Global Education, Conferences, and Events
Attention to detail – Ability to efficiently allocate cognitive resources to achieve thoroughness and accuracy when accomplishing tasks, no matter how small or large
Creative problem solving – Ability to approach a problem or a challenge in an imaginative and innovative way
Organization - Ability to stay focused on different tasks and use time, energy, strength, mental capacity, physical space, etc. effectively and efficiently to achieve the desired outcome
Flexibility – Capacity to adjust to change quickly and calmly so that unexpected problems or tasks are managed effectively
Relationship building – Ability to utilize a combination of soft skills to connect with others and form positive relationships with HBA stakeholders from a variety of backgrounds and in a variety of positions, from entry-level to executive
Customer service orientation – Ability to prioritize the needs and interests of HBA members, volunteers, and corporate partners when planning events and to practice radical hospitality when addressing their questions and concerns.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, and Word)
Skill in tracking expenses and monitoring budgets
Four to six years’ experience at a non-profit professional association
Experience with project and speaker management
Experience coordinating activities with volunteer leaders
Experience with in-person, virtual, and hybrid events
Experience using speaker management and conference logistics software
Travel for WOTY, Annual Conference, HBA staff retreats, and various other in-person meetings (approximately 10% of annual responsibilities)

Preferred

Proficiency in Microsoft Teams preferred or familiarity with other similar platforms for interoffice communication
