Responsibilities

Operates within the parameters of organ utilization, patient safety, and transplant center access to the organ allocation system. Supports the Manager of Organ Allocation in strategic planning efforts and monitoring qualifying individual (QI) programs.
Provides technical support to the Organ Allocation workgroup, a highly regulated work system by United Network of Organ Sharing (UNOS), and is responsible for timely allocation of organs, and accurate data reporting to UNOS. This also includes assisting the Director with employee recruitment, providing feedback to the Manager of Organ Allocation regarding employee performance and development.
Maintains in-depth knowledge of the extensive and rapidly evolving regulations governing organ allocation, transplant centers, and continuously demonstrates and shares knowledge of evidence-based improvement practice.
Monitors adherence to DNWest’s policies including compliance with all current federal, state, and/or local laws and regulations, and DNWest’s standard operating procedures (SOPs).Policy scope includes organ allocation, potential disease transmission, patient safety reportable events, culture reporting, required data reporting elements and validation, organ chain of custody and disposition reporting, potential transplant recipient data reporting, and documentation activities. Participates in the development of new policies and procedures necessary to maintain compliance.
Monitors key performance indicators, metrics, and monthly/annual goals for departments. Communicates performance concerns when indicators, metrics, and goals are not compliant with established targets. Collaborates with Hospital and Tissue operations to improve donation outcomes.
Participates in operational call schedule as necessary.
Attends required Medical Advisory Board meetings, staff meetings, training programs, and or in-services deemed necessary.
Ensures compliance with current federal, state, and/or local laws and regulations including Centers for Medicaid and Medicare Services (CMS), and United Network for Organ Sharing (UNOS). Meets Association of Organ Procurement Organizations (AOPO) standards, and Donor Network West’s Policies and Procedures (P&P).
Cultivates and grows external stakeholder relationships and engagement by supporting Donor Network West’s brand, ensuring responsive service delivery, and enhancing our reputation as a trusted partner.
Assists with onboarding and on-going instructor-led and on-the-job training of team members within their focus area.
Effectively and professionally trains employees according to an established department training plan, current policies, and current practices.
Participates with OAC Leads as subject matter expert partnering with L&D to evaluate, develop, and update training plans and materials.
Coordinates training and skills/competency assessments. Establishes opportunities for coaching and support for employees using all available resources and preceptors.
Partners with OAC leads and preceptors to ensure training process in the learning management system is documented in an accurate and timely manner.
Collaborates with department leadership, preceptors, and employees to ensure check-ins are provided to employees and staff during training.
Schedules and conducts regular debriefing sessions for allocation department to include leadership, OAC’s, and other teams as needed to identify strengths/weaknesses, review achievements/non-achieved departmental objectives, identify future growth opportunities, and appropriately document staff members case experiences.
Partners with management, and internal and outside partners to arrange training opportunities.
Participates with new process rollouts and employee policy update training as needed.
Assists the Manager of Organ Allocation with employee administrative actions to include but not limited to recruiting, interviewing, and candidate sourcing, discussion, and selection; salary review and recommendation; scheduling and time reporting training. The position is fully involved in coordination with the Manager on employee training and development; coaching and counseling; recognition; and career development and advancement preparation; in accordance with DNWest policy and procedures.
Coordinates team scheduling as well as coverage during times of high activity or staff call offs during assigned shifts.
Activates the DNWest Quality Systems occurrence reporting system and completes follow up with employees and leadership as assigned.
Partners with the OAC Leads to identify, develop, implement and update DNWest policy, guidelines, and job aides.

Must possess or develop detailed knowledge of applicable regulations and standards including but not limited to those established by Centers of Medicare and Medicaid Services (CMS), Federal Drugs Administration (FDA), United network of Organ Sharing (UNOS), Association of Organ Procurement Organizations (AOPO), American Association of Tissue Banks (AATB), and State of California.
Ability to leverage information technology to develop, manage, maintain, and grow organ utilization.
Ability to read and interpret documents such as procedures, standards, regulations, protocols, validations, policy guidance documents, etc.
Valid California driver’s license and current vehicle insurance based on California minimum insurance coverage standards.
Reliable automotive transportation required.
Bachelor of Arts or Science Degree required, 3-5 years of experience in the Organ Allocation may substitute for educational requirement.
At least 3 years of experience within an organ procurement organization (OPO), preferably within an organ allocation work system, leading through influence and collaboration.
Customer relations and organ allocation experience is required.

Preferred

Master’s Degree in Business, health care administration, or related field preferred.
Experience in the areas of staff development, patient safety, and quality improvement.
Some knowledge of applicable federal regulations relating to organ donation and operations, preferably in organ allocation.
Leadership experience within an OPO is preferred.
