Mass Tort Operations Coordinator

Responsibilities
Help coordinate campaign timelines, deadlines, and deliverables to support smooth campaign execution.
Contribute to defining campaign objectives, target audience, and key messaging under guidance from marketing leadership.
Assist in the deployment of campaign elements and in optimizing paid advertising and retargeting efforts.
Help monitor campaign performance metrics.
Engage in A/B testing to assist in refining campaign elements.
Utilize data insights to support decisions for ongoing campaign improvement.
Communicate with internal teams to ensure alignment of campaign strategies.
Report on campaign progress and results for senior staff and stakeholders.
Maintain a current list of co-counsel, referral counsel, and additional relationships.
Work to improve and maintain client communication and responsiveness in each tort.
Ensure all costs are added in Filevine before submitting for payment for settlement purposes.
Work with partners and lead attorney on criteria, so that the intakes on new products are performed correctly.
Design and implement new project onboarding and administration, assessing workflow and staffing needs to successfully manage projects.
Conduct initial setup in Filevine, Slack, TEAMS, and RingCentral, create CFA Packages (i.e., referral agreements, HIPAA/HITECH, and work with attorneys developing criteria, questionnaires, and decision tree for qualifying cases and fields to create in Filevine.
Collaborate with contacts on finalizing campaigns, and providing documentation, with the training and criteria to correctly intake and process cases into FileVine.
Responsible for informing, reviewing, and reporting on project process performance.
Monitor campaign progress; review incoming cases ensuring quality cases are received; track rejected and replaced DNQ.
Prepare reports and generate client updates for each project.
Effectively communicate with difficult clients and oversee any urgent escalations to resolve issues with clients.
Develop and regularly evaluate internal operation processes for projects to identify opportunities for increased quality and efficiency.
Initiate mass updates for maintaining FV database, training on FV new features, mapping fields for integrations on API, designing the forms, creating teams, fixing FV issues, and contacting FV support deadlines/teams.
Performing quality control checks to validate that all information in the system is accurate and performing corrections.
Work with leads on projects to obtain missing documents in a timely manner.
Work with Team Leads to delegate reviews: Intakes and Reviews, Missing Data to be Reviewed and Corrected, Quarterly Co-Counsel/Referral reports for all product lines, Any partner requested reports.
Design, develop, and implement with Team Leads the Statement of Work for each project. Initiate a chronological timeline document.
Identify reports to be generated and fields necessary to report correctly upcoming deadlines.
Develop and implement policies and procedures. Create/update documentation on protocols posting in each TEAMS Resource: effectively review protocols for consistency of case reviews.

Required
Minimum of 3 years experience involved with marketing campaigns in a mass tort law firm.
Knowledge of the law firm’s operations workflow process for Personal Injury cases.
Comprehensive knowledge of the case cycle from intake to settlement.
Excellent interpersonal, customer service, verbal and written communication, and critical thinking skills.
Proficiency with Microsoft Office Suite, updating case management.
Help monitor campaign performance metrics and contribute to the analysis of key performance indicators (KPIs).
Engage in A/B testing to assist in refining campaign elements.
Utilize data insights to support decisions for ongoing campaign improvement.
Communicate with internal teams to ensure alignment of campaign strategies.
Report on campaign progress and results for senior staff and stakeholders.
Ability to work independently and in a team environment; seen as approachable, engages people.
Demonstrates a high level of professionalism with confidential and sensitive information.
Acute diligence.

Previous legal experience in Plaintiff product liability, defective drugs, or personal injury.
Ability to work on complex projects with general direction and minimal guidance.
