Responsibilities
Provides advanced technical support for Support Services leadership to include: technical meeting management, process and systems development, allocating resources, and project management.
Performs document review and analysis. Gathers information from internal and external sources as needed to help in decision making.
Coordinates and manages projects, incorporating and adhering to project management and methodology, using prescribed tools and documents as required to coordinate and manager projects.
Manages the projects for Support Services leadership, including staffing, procurement, budgets, reports, and database development. Schedules and confirms appointments.
Coordinates meetings; reserves meeting spaces and records and transcribes minutes. Prepares, processes and maintains records and assures completeness of files and paperwork.
Manages records retention, including information storage and retrieval
Facilitates effective communication between staff.
Cultivates a positive work environment.
Works collaboratively and throughout the Alaska Tribal Health System.
Tracks the day-to-day activities required to ensure projects are completed on time, successfully, and in a manner consistent with organizational goals, departmental policies, and/or the standard terms and conditions of the contract, if applicable.
Ensures staff compliance with standards for confidentiality and job performance. Addresses employee concerns and resolves problems; advising management as appropriate.
Determines staff needs in coordination with Support Services leadership, as appropriate.
Assist in recruiting and selecting new support staff members.
Assists with financial and resource allocation analysis, forecasting, and tracking. Completes check, travel, purchasing, and invoice requests and reconciliation for approval.
Orders office supplies, equipment, and maintenance repairs.
Assists with projects; drafts, edits, and formats documents, presentations, and publications.
Works with the marketing and impacted departments to support requests for publication of press releases and related communication.
Acts as computer help desk to employees.
Identifies problems and directs to appropriate resource for resolution, e.g. internal, contract technical support, vendor support, etc.
Researches requests for new software, hardware, or system capabilities and reviews with management.
Manages day-to-day operation of hardware, software, and related services.
Evaluates the need for software upgrades and works with Information Technology to schedule implementation.
Performs other duties as assigned.

Required
Bachelor’s degree in business or other related field. Progressively responsible professional work-related experience, education, or training may be substituted on a year-for-year basis for college education.
Non-supervisory – Ten (10) years of project management experience AND two (2) years of senior level professional executive support experience. An equivalent combination of relevant education and/or training may be substituted for experience.
Supervisory - Five (5) years involving employee supervision.
Knowledge of legal, administrative and legislative processes and practices.
Knowledge of professional responsibility requirements.
Knowledge of tribal culture and politics.
Knowledge of HIPAA, privacy laws and regulations.
Knowledge of administrative and office management practices, including budgeting, purchasing, filing, travel, etc.
Knowledge of financial and policy development and analysis, problem identification and resolution.
Knowledge in continuous quality improvement concepts, theories and practice.
Skill in assessing and prioritizing multiple tasks, projects and demands.
Skill in exceptional customer service.
Skill in operating office equipment, including a personal computer utilizing a variety of software and database applications.
Skill in providing advanced administrative support.
Skill in establishing and maintaining cooperative working relationships with others.
Skill in oral and written communication, and addressing sensitive issues with individuals with a wide array of political, social, cultural and educational backgrounds.
Skill in organization, time management and meeting deadlines.
Skill in technical writing and presentation preparation.
Skill in maintaining confidentiality.
Skill in developing office and data management systems.
Skill in managing complex projects.
