Responsibilities

Works with OKC Site Director, Chair of the Department of Aviation Management, and the Director of the Aerospace Sciences Institute to coordinate administrative functions of the Southeastern’s OKC programs.
Advises undergraduate and graduate students concerning program overview and admission requirements.
Assists with the coordination of course offerings and programs in the OKC area.
Coordinates and follows up on the textbook adoption process with OKC Faculty and SE Bookstore.
Orders and distributes books, supplies and materials for the Tinker Cohort and POM Cohort groups.
Assists with registration, admissions, tuition assistance, financial aid and other various school related needs.
Works with CADP and POM Program Managers on schedules and textbooks.
Advises on graduation process for students graduating.
Maintains student files, databases, and email contacts for OKC area.
Helps compile and research data requested about:
Present, past, and potential enrollments.
College catalog references.
Individual student information for the Oklahoma State Regents for Higher Education, Aviation Alliance board members, member colleges, counselors and administrators, and the Tinker AFB Education Services.
Assists in preparing class schedules.
Assists in creating degree program brochures, class schedules, announcements, etc.
Create enrollment report the Tinker AFB Education Services Offices each term.
Assists in the marketing of academic programs at Tinker AFB and OKC area.
Assists in locating and hiring of adjunct instructors for the SE courses taught in the OKC area.
Facilitates student course evaluations surveys for all classes taught through the OKC office to include those offered on Tinker AFB, Rose State College, online, and hybrid.
Maintains files on instructors.
Coordinates with instructors in obtaining Tinker AFB IDs.
Assists faculty with general clerical duties as time allows.
Creates an effective working environment at Tinker AFB and Rose State College offices.
Assist in recruiting students in the greater OKC metropolitan area.
Assist in coordinating the annual OKC Faculty Training event.
Proctor tests for students as needed.
Answers telephone inquiries and prepares internal-departmental mail.
Schedules appointments for visiting school administrators and potential new students.
Other Duties as assigned

Required

High school diploma.
Two years related office management/clerical/reception experience.
Excellent oral and written communication skill and organizational abilities.
Ability to establish good rapport with students and good working relationship with Tinker Educational Services Officer (ESO); Tinker and Rose State faculty and staff, and SE main campus staff (financial aid, admissions, registrar, business office, Aviation Sciences Institute, graduate office, etc.).
Must be proficient or capable and willing to become proficient using Colleague: Self Service and Canvas.
Must be proficient using Internet Web Browsers, Microsoft Office Suite, and Adobe Acrobat.

Preferred

Bachelor’s degree.
Three years related office management/clerical/reception experience.
Experience in Higher Education.
Counseling or advising experience.
