Responsibilities
Serve as the primary point of contact for UT Health Tyler leadership, University of Texas representatives, and anesthesia providers
Ensure sites are fully staffed and compliant with all regulations and internal SOPs, using proactive communication via phone, email, and text
Build and maintain strong relationships with clinical staff, medical directors, hospital partners, and academic stakeholders
Support onboarding for new hires, residents, and rotating students, ensuring clarity on expectations, culture, compliance, and systems
Coordinate responses to provider issues related to operations, scheduling, or administrative tasks, escalating appropriately
Troubleshoot day-to-day issues and barriers to meeting service line goals, partnering with leaders to identify sustainable solutions
Autonomously manage, analyze, and optimize provider schedules
Use MSS (MyStaff Schedule) and other platforms to oversee schedules, link shifts, generate reports, set validation rules, and maintain schedule accuracy
Ensure comprehensive coverage for all shifts and procedures, coordinating emergency or backup coverage for unexpected absences
Develop and implement strategic scheduling plans based on provider availability, site needs, vacation/holiday calendars, and academic requirements
Post and manage open shifts and locum needs using third party vendor relationships when approved and necessary
Proactively address staffing issues, balancing resource allocation with provider satisfaction and operational goals
Verify provider credentials and independently initiate credentialing for providers added to new sites in collaboration with EAM's Credentialing and Enrollment teams
Ensure all clinicians are third party payer credentialed in a timely manner to avoid out of network billing and timely filing denials
Lead onboarding and training for new providers and schedulers, including MSS use and EAM operational workflows
Review and refine the monthly billback reconciliation process using MSS data as the source of truth
Monitor, analyze, and report on site performance through scorecards, operational dashboards, and provider metrics
Provide operational insights and recommend improvements to SVP and executive leaders based on data and feedback
Coordinate site meetings and communications; participate in performance reviews and quality improvement initiatives
Help to facilitate clinical documentation training to prevent billing and coding errors and incidents
Assist with recruitment strategies in partnership with Human Resources and Hiring Managers
Facilitate the organization and storage of key documents such as CVs, contracts, and schedules in EAM systems
Coordinate start-up operations for new sites and support service expansions or academic rotations
Support financial oversight by monitoring revenue, expenses, and site profitability indicators
Qualification
Required
5-7 years of experience in a related field, with a track record of success in management and leadership positions
Bachelor's Degree in Business or Health Management or a minimum of three years of supervisory experience in a health care setting
Proven verbal, quantitative, financial and interpersonal skills, with in-depth knowledge of medical practice administration and multi-practice management experience
Excellent communication skills, attention to detail, customer service, and ability to interact with providers, customers, management, and partners
Keen attention to detail and time management skills, with the ability to work independently and thrive in a team environment
Ability to develop relationships by listening to the needs of our customers
Ability to travel with some regularity is required
Preferred
Experience with scheduling and credentialing systems preferred
