Modifications Administrator
North Coast Community Homes, Inc. is dedicated to providing accessible modifications and renovations. The Modifications Administrator coordinates the project pipeline, schedules, and logistics for these teams, ensuring efficient operation and communication between customers, partners, and vendors.

Responsibilities
Prepare bids (coordinate specified materials, create estimates (Quickbooks)) and review with team (5 hours)
Procure and coordinate logistics for materials delivery in conjunction with job schedule (5 hours)
Monitor and update project pipeline (Monday.com), alerting team to risks and opportunities; lead weekly Access Mods meeting in collaboration with Operations Manager (4 hours)
Coordinate and optimize “durable medical equipment” initiative, providing estimates, administrative coordination, process feedback and optimization (4 hours)
Schedule, communicate and coordinate initial site assessments, acting as a liaison between customer, partners, vendors and field estimate team (2 hours)
Perform administrative tasks – filing (physical and digital) relating to bid creation, invoice approval (PNC A/P), work completion notification (email with pictures) and reimbursement (2 hours)
Monitor external systems for potential and awarded projects (Provider Search Tool) as well as allocated funds (PAWS) (2 hours)
Create “letters of intent” for renovation projects in conjunction with the Residential Renovation Project team (2 hours)
Act as a backup for administrative functions as needed (work order intake, invoice approval, etc.) (2 hours)
Research standard and potential new products to be utilized and maintain standard products manual (2 hours)
Cross-train with other members of the team to learn (among others): project specification creation, job estimation, etc. (1 hour)
Provide supplemental administrative support to NCCH leadership (letters, visit correspondence, other tasks as needed) (1 hour)
Represents the interest of NCCH in an appropriate and professional manner

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
Ability to write routine reports and correspondence
Ability to apply concepts of basic mathematics
Ability to work with and among persons with disabilities
Ability to cooperate and communicate with co-workers, tenants and the general public
Ability to diagnose and solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
If assigned to drive a vehicle must have valid drivers license and be insurable at NCCH's current rate
The employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear
The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move up to 100 pounds
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
The employee is regularly exposed to moving mechanical parts
The employee is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, outside weather conditions, and risk of electrical shock
The noise level in the work environment is usually moderate
