NEOGOV is seeking an Administrative Assistant for the Capital Improvement Projects (CIP) division of the Public Works Department. Responsibilities

Performs secretarial and administrative duties within the CIP division in accordance with established procedures or standing instructions
Handles general office tasks including typing, receptionist duties, and operation of office equipment
Answers and screens incoming telephone calls; takes and forwards accurate messages
Arranges, indexes, files, and retrieves letters, maps, plats, memos, reports, charts, statements, and statistical data
Maintains a variety of records and files, including work orders, service request notices, notices of violation, property owner data, supply inventories, vendor and contractor listings, contract bids, insurance certificates, warranties, and invoices
Assists the Division Head by drafting correspondence, preparing documents for supervisor’s signature, researching information for various capital projects, compiling statistics, and maintaining statistical records
Plans and schedules work independently in the absence of direct supervision
Gathers data for preparing bid specifications, types of bid proposals, letters, advertisements, contracts, and other documents
Assists the general public with questions and concerns related to capital improvement issues
Operates and administers the division’s project management software, Procore, including managing tasks, user permissions, tracking workflows, and generating reports
Maintains the division’s document management system, Laserfiche, for recordkeeping and archiving purposes
Supports the Division Head in maintaining the capital improvements schedule by monitoring the budget and keeping consultants and various staff functions on schedule
Assists the Division Head with property acquisitions including hiring appraisers and title companies, organizing condemnations, and coordinating with attorneys
Coordinates and monitors projects involving the Texas Department of Transportation (TxDOT), Denton County, and other local, regional, state, and federal agencies
Adheres to departmental, personnel, and safety policies and procedures
Assists co-workers and other divisions as needed
Keeps supervisor informed of all work activities
Performs other duties as assigned

Required

A High School Diploma or General Equivalency Diploma (GED) is required
Must have a valid Texas driver's license and driving record must be in compliance with Town policy
Minimum of two (2) years of general office experience is required
Extensive working knowledge of office administrative practices and computer operations, including Microsoft Word and Excel
Excellent English written and verbal communicative skills, including proper usage of spelling, grammar, punctuation, and sentence structure
Ability to follow oral and written instructions, manage multiple tasks, prioritize assignments, and maintain confidentiality
Strong decision-making skills; able to work well under pressure and maintain a pleasant and professional demeanor at all times
Must be able to see, hear, talk, and write clearly
Must have good hand/eye coordination for data entry and general office tasks
Must be able to lift and move file storage boxes weighing up to 25 lbs
Must be able to move boxed documents weighing up to 52 lbs. with the assistance of a dolly

Preferred

Certification as a Texas Notary Public is preferred
