Responsibilities

Provides administrative support for Executive Director and other managers/team members with scheduling

Prepares travel vouchers and reimbursements, etc. for Executive Director and other managers/team members

Assist with budget preparation and financial reports

Responsible for managing and directing to appropriate personnel inquiries received through office emails and/or phone lines

Orders office and equipment and supply orders for the team

Required

Minimum of 5 years of applicable work experience

Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and cultural competency skills

Knowledge of a variety of administrative operational activities such as event planning, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines

Ability to use discretion and maintain confidentiality

Strong skills in short-term planning, analysis, problem-solving, and customer service

Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management

Bachelor's degree in related area and/or equivalent experience/training

Preferred

Familiarity with UCOP and relevant policies, procedures, and protocols
