Manager, Experiential Project Management

Responsibilities
Lead and mentor a small team of project and event coordinators responsible for experiential marketing operations, logistics, and execution—including administrative, financial, and inventory support
Oversee project timelines, resource allocation, and team workload to ensure on-time, on-budget delivery
Foster a culture of accountability, collaboration, and continuous improvement
Drive the development and maintenance of an annual experiential marketing calendar, aligning business priorities and marketing strategies
Facilitate cross-functional planning sessions with integrated marketing, shared services, and business unit stakeholders
Ensure alignment across teams through clear communication, shared timelines, and milestone tracking
Manage and optimize internal processes including event intake forms (Cvent), file management systems, and project templates
Serve as the administrator for the project management platform (e.g., Workfront), ensuring consistent usage and reporting
Lead budget tracking and resource planning for the experiential marketing team, including event assignments and vendor coordination
Oversee team processes related to budget tracking, invoice processing, credit card reconciliation, and inventory management (e.g., Exhibit Force, merchandise, shipping logistics)
Ensure governance and best practices for project management and event platforms (e.g., Workfront, Cvent), including template development and system administration
Develop dashboards and reporting mechanisms to track project progress, team performance, and experiential marketing KPIs
Provide regular updates to senior leadership on project status, risks, and opportunities for improvement
Deliver an enterprise-wide global events calendar including industry, owned and sponsorship events
Provide leadership in identifying, documenting, implementing, and communicating key process improvements that enhance team efficiency and stakeholder satisfaction
Stay current on project management best practices and tools and champion their adoption across the team
Leverage data to drive decision-making and ROI
Qualification
Required
Bachelor's degree required in events, marketing, communications, business, or related field, or demonstrated equivalent in work experience
Project Management Authority (7+ years, preferably within events or marketing)
Proven experience leading small teams and managing complex, cross-functional projects
Strong organizational and time management skills with keen attention to detail
Proficiency in project management tools and systems (e.g., Workfront, Asana, Smartsheet, Excel)
Excellent communication and interpersonal skills; able to influence and align diverse stakeholders
Data-driven mindset with experience in tracking, reporting, and optimizing project performance
Strong analytical skills to deliver ROI, insights, and strategic recommendations
Lead and inspire a team of event project managers and experiential team members who are responsible for end-to-end event marketing delivery, including project/budget management, executive engagement, logistical, and operational elements
Skilled at leading centralized and decentralized teams, developing talent and mentoring direct reports
Strategic thinker with a passion for operational excellence
Collaborative leader who thrives in a fast-paced, evolving environment
