Responsibilities
Regularly reconcile QuickBooks data with physical inventory counts
Investigate and resolve discrepancies, working across Operations, Purchasing, and Finance
Lead and support cycle counts and quarterly/annual inventory audits
Ensure all purchase orders, bills, receipts, and invoices are properly entered and tied to inventory activity
Maintain accurate inventory valuations and COGS reporting within QuickBooks
Support month-end and year-end close processes related to inventory
Implement and maintain standardized labeling, categorization, and tracking systems for inventory
Document and continuously improve inventory management processes
Oversee setup of new products/SKUs in QuickBooks and ensure alignment with production workflows
Deliver accurate reports on inventory levels, costing, and usage trends for management
Partner with Purchasing and Production to improve materials visibility and control
Identify and implement process improvements to increase efficiency and accuracy
Qualification
Required
Minimum of 5 years professional work experience, with at least 3 years in an accounting and inventory management role (manufacturing/production environment strongly preferred)
Strong working knowledge of QuickBooks (required); experience with ERP/MRP systems a plus
Proficiency in Excel and data analysis tools
Proven ability to manage reconciliations, identify discrepancies, and implement corrective actions
Highly organized with strong attention to detail and accuracy
Excellent communication skills and ability to work across multiple teams
Self-starter who can operate with independence and accountability in a fast-growing company
