Responsibilities

Plan and coordinate recruitment efforts with Senior Recruiter, Department Chief, Public Affairs Office (PAO), Operational Security (OPSEC) and other Walter Reed Army Institute of Research (WRAIR) Clinical Trials Center (CTC) staff members
Review and understand protocol inclusion/exclusion criteria, informed consent forms and study schedules
Recruit volunteers for clinical research studies in a professional manner; clearly and succinctly disseminate approved protocol information to prospective subjects
Schedule appointments of prospective research subjects for briefings and screenings; follow-up with those who did not keep appointments to either reschedule or closeout the encounter
Perform data entry of study-specific recruitment information in secure volunteer database
Maintain the WRAIR CTC Facebook & Twitter accounts on a daily basis for subject recruitment purposes
Create/assist in creation of both generic CTC and study-specific advertisements and recruitment materials within regulatory and ethical guidelines
Place and maintain advertisements (flyers, newspapers, web-based ads, list serves, etc.), coordinating study-related costs and expenditures with the site lead and portfolio manager
Assist in tracking advertising efforts
Research, initiate, and implement new venues of advertisement
Create and assist in creation of forms, reports, etc. using Microsoft Word, Excel & PowerPoint etc
Assist in creating, maintaining, and updating electronic and paper files as needed to ensure smooth operation of clinic flow
Assist in maintaining and updating front desk calendar, MS Outlook calendars, and quarterly calendar board as necessary
Front Desk Duties to include answering phones, scheduling participants, escorting participants through facility, etc
Assist with data entry to prepare and distribute volunteer payments, routinely monitor data and prepare reports for both CTC and Laulima Program Management. Troubleshooting and problem solving may be required
Assist with Verified Clinical Trials (VCT): requires basic data entry to track possible volunteer participation in other trials
Assist with other systems that require data entry to enable volunteer payments
Assist with Bulletin system, which requires sending daily text messages to volunteers to remind them of upcoming appointments. Requires follow-up or texts or phone calls in response to volunteer requests to reschedule or cancel appointments
Assist with escorting volunteers at the Staff Duty Desk located near the main entrance of WRAIR and escorting them to the CTC section. Upon completion of appointment, assist with escorting volunteers back to the Staff Duty Desk as necessary
Maintains a safe workplace ensuring that he/she is aware of and observes appropriate safety and occupational health rules and regulations
Attend safety training relative to the position and report any infractions of safety procedures to the Facility Safety Officer
Performs light duties and other related duties as required and assigned

Required

High School Diploma or above
Capable of carrying out a given task with all details necessary to get the task done well
Must be able to work independently and with a team of volunteer recruiters
Experience in general administrative duties: answering the phone and greeting visitors
Computer proficiency in Microsoft Word and Excel programs, and ability to learn new software as needed (CTMS, QuickBooks, FORTE, VCT, and Bulletin)
Ability to establish and maintain effective working relationships with coworkers, managers, and customers
Must be able to work independently following a brief period of specific technical training
Must be a U.S. Citizen
A Tier I background investigation will be required

Preferred

Experience or knowledge of Clinical Trials processes and regulations (human subjects protections and privacy) preferred
Experience or knowledge of Department of Defense (DoD) medical or research operations preferred
