Behavioral Health Administrative Assistant

Goodman JFS of Broward County is a behavioral health organization seeking a Behavioral Health Administrative Assistant to support the ongoing smooth functioning of their program. The role involves a variety of administrative tasks, including client interaction, assisting clinicians, and maintaining office needs to ensure high-quality client care.

Responsibilities

Greet clients at front desk and answer phones to answer client questions, provide resources and transfer to the correct department as needed
Directly assist clinicians, supervisor and director on client follow-ups, internal paperwork, and support with EHR system
Support supervisor and director in entering and gathering data needed for funding reports and internal use
Directly assist clients in utilizing the EHR Patient Portal, DocuSign and/or Adobe Sign for completion of documents & provision of electronic payment
Assist billing department in gathering any forms needed from client
Support medical records department in gathering documentation
Support staff in ensuring requirements are met for CARF accreditation
Maintain office needs such as tracking office supplies and working with JFS team when other office needs arise in the suite
File electronic forms into patient charts
Assist staff with GoTo (phone system) needs
Create and maintain spreadsheets to track office needs, client contact needs, and data collection
Create JMBHC weekly meeting agenda
Create and upload JMBHC weekly meeting minutes
Send clients satisfaction surveys via Survey Monkey
Create and update Walkthroughs and How-to’s for clinicians to use when new procedures are set in place
Other tasks as assigned by supervisor

Required

High School Diploma
Experience and/or interest in mental health field
Superior customer service skills
Experience in administrative support roles
Intermediate computer skills; experience with Microsoft Office (word, excel, outlook, Teams), Adobe, and Zoom platform
Attributes important for this position include problem-solving, sensitivity, analytical ability, strong communication and interpersonal skills, patience, flexibility, and ability to function independently and multi-task
