Accounting Administrative Assistant I, II or III

Responsibilities
Receives payments, documents or samples at the counter, and records or processes the transaction
Posts revenue, balances accounts, and prepares bank deposits
Prepares and sends out billing statements, and follows up with collections actions if needed
Enters accounts payable invoices and posts to correct job cost
Answers incoming calls or directs callers as appropriate, and also assists the public in person. Provides general or specific information within scope of authority from knowledge of established procedures and policies, or applicable laws, rules or regulations
Reviews for accuracy, and processes accounting, payroll or other documents following established instructions or applicable laws and regulations
Enters data into electronic or manual records systems, including databases or spreadsheets. Verifies accuracy of information entered. Compiles department data and prepares scheduled or special reports
Establishes, updates, maintains, retrieves data from, and purges manual or electronic files according to standard procedures
Resolves typical problems or issues encountered in performance of job duties. Maintains effective working relationships with employees or the public
Utilizes standardized guidelines and regulations to determine eligibility for services provided for or approved by the department
Prepares or edits correspondence, forms, county licenses or certificates, or other department documents using standard office or specialized software applications
Maintains petty cash for the department; prepares outgoing mail
Operates standard office machines including a personal computer, multi-line telephone, photocopier, facsimile, or other equipment required in the performance of assignments
Verifies and processes specialized or non-routine accounting transactions such as tax adjustments, revenue distribution, etc. Reviews documentation for accuracy, proper coding, and conformance to requirements. Enters transactions into financial accounting system, and taxation sub-ledgers maintaining consistently accurate information
Tracks all revenue and adjusts accounts following established guidelines and procedures. Corrects posting errors, performs tax recalculations and updates financial records
Monitors overall tax revenue budget, and verifies revenues sources are tracking accordingly. Performs bank and account reconciliations and assists with budget preparation
Compiles and verifies tax data for budget, payroll, contracts, or other statistical reports. Provides reports and analysis in the form of summaries, graphs and charts. Utilizes spreadsheets and other tools for generating various reports and displaying data
Maintains journals in the general ledger and sub-ledgers of the financial software, and reconciles related reports daily, monthly and annually. Prepares monthly revenue and various standard reports. Summarizes accounts, and determines outstanding balances
Establishes, maintains, and updates files, lists, and records for computerized or manual recordkeeping systems in the tax software. Searches files and records for information as needed
Prepares expense vouchers, and other related requisitions for assigned department ensuring proper approvals and coding. Orders office supplies and equipment for the department, and maintains inventory
Provides training to staff on accounting guidelines and procedures, and answers questions on transactions
Assists in the foreclosure and distraint processed in addition to responding to questions from the public regarding accounting transactions, and follows up on and resolves issues as needed
Works with the various Districts within Klickitat County that the Treasurer’s Office acts as the Ex-Officio Treasurer for resolving problems, complaints or emergencies affecting availability or the quality of service
Qualification
Required
Knowledge of principles, practices, and techniques and related tools/equipment to accomplish the basic function of this position, including any safety and/or legal requirements. This may, but not necessarily, include knowledge specific to the assigned department and/or specialized skills
Knowledge of basic math, and basic bookkeeping or accounting principles and practices
Ability to multi-task, and exercise discretion and judgment to resolve routine problems
Knowledge and ability to use standard office software programs including email, word processing, accounting, and/or database applications
Knowledge and ability to operate standard office equipment including a personal computer, telephone, facsimile machine, photocopier, or other equipment required for the position
Any equivalent combination of education and experience that provides the applicant with the required knowledge, skills, and abilities to perform this job. A typical way to obtain the knowledge and abilities would be: High school diploma or GED and two to four years of progressively responsible bookkeeping or general accounting experience, preferably in government accounting. One year of related college or business school course work may be substituted for one year of experience
Valid state driver's license in state of residence
