Office Assistant
Voda Cleaning & Restoration is a trusted provider of water mitigation, mold remediation, trauma cleanup, professional cleaning, and property restoration services. They are seeking a detail-oriented and reliable Office Assistant to provide administrative support to the team, helping with scheduling, customer service, claims follow-ups, and job documentation.
Consumer Services
Responsibilities
Answer phones, respond to emails, and provide excellent customer service
Schedule and confirm appointments, dispatch technicians, and manage calendars
Assist with preparing job files, estimates, invoices, and insurance documentation
Enter and maintain customer information and project notes in company systems
Support marketing efforts (social media posts, BNI tracking, flyers, etc.)
File, scan, and organize records to ensure compliance and efficiency
Communicate with subcontractors and vendors as needed
Perform general office tasks including ordering supplies, managing mail, and maintaining a clean and organized workspace
Other duties as assigned
Qualification
Required
High school diploma or equivalent; some college preferred
Prior office, customer service, or administrative experience required
Strong organizational skills and attention to detail
Proficient with Microsoft Office (Word, Excel, Outlook); QuickBooks/Xactimate experience is a plus
Excellent communication skills (verbal and written)
Ability to work independently with minimal supervision
