Leave and Compliance Specialist
Yaskawa America, Inc. - Drives & Motion Division is a leading provider of Automation Solutions and Support. They are seeking a Sr. Leave of Absence and Compliance Specialist to oversee the administration and compliance of leave programs, ensuring adherence to state and federal regulations.

Responsibilities
Leads the coordination of processes for leave, disability, and absence management programs to ensure appropriate risk management, cost control and adherence to the law
Leads the ADA accommodation process, using industry experience to conduct interactive discussions with managers and Associates to arrive at optimal solutions, and ensuring procedural follow through
Manages the workers compensation process from date of injury to date of return
Ensures teammate HRIS and payroll records are accurate, including proper and timely execution of moving Associates through the appropriate lifecycle if they are not able to return to work
In conjunction with Yaskawa’s Leave TPA, monitors and tracks FMLA leave usage, ensuring compliance with leave entitlements and any applicable state or federal regulations
Provides timely responses to requests and questions regarding benefits, escalating complex issues to vendors or other HR team members as appropriate
Utilizes demonstrated technical skills with respect to leave to conduct analysis, problem solve, conduct process improvements, spot trends, and resolve issues
Implements and executes procedures to collect benefit premiums while Associates are on an unpaid leave
Manages vendor relationship to ensure quality and excellent customer service to the organization and to Associates. Manages any vendor changes as it relates to our internal processes or HRIS systems
Conducts and facilitates education and presentations of leave of absence programs and provisions to Associate’s as well Managers
Develops and executes the HR Compliance Policies, Monitoring and Reporting strategy and annual work plan, aligned with legal regulatory requirements and risks
Prepares and executes on a prioritized list of initiatives for each fiscal year
Develops and implements an HR Compliance Risk Assessment process and reports
Conducts regulatory horizon scanning on a continuous basis to identify changes in federal, state, provincial and local regulations and employment laws that affect the company
Responsible for HR Compliance policy updates and/or development to support regulatory changes
Partners with Vice President, Human Resources and Director, Human Resources to drive policy changes and consults on process, procedure and control development
Owns the Company’s Associate Handbook and updates
Develops and maintains HR Compliance monitoring and auditing plan
Conducts compliance audits on HR policies, procedures and practices. Drafts audit reports on results and remediation recommendations. Monitors known risks, internal control effectiveness, and the remediation of process deficiencies
Identifies and discusses emerging compliance issues with leadership and develops and presents compliance reporting to stakeholders, as necessary
Partners with the HR Compliance, Legal and Business Operations Teams to prioritize and respond to regulatory compliance matters
Completion of project work as assigned
Qualification
Required
A minimum of a Bachelor's Degree in Human Resources or legal field of study
3-5 years of experience administering Leaves of absence including but not limited to STD, LTD, FML, ADA, Workers Compensation and state mandated leaves
In depth knowledge of leave and accommodation laws including FMLA, ADA, and state and local leave laws
Detail oriented with high level of accuracy, and ability to manage time to coordinate simultaneous projects
Ability to provide prompt and thorough responses to Associate and teammate requests; solicits teammate feedback to improve service
A consultative approach. Strong communication skills in a variety of channels (written, one-on-one, group)
High degree of organizational skills, along with the ability to set priorities and work independently with minimal supervision in a high volume, fast paced work environment
High degree of analytical and process improvement skills. The ability to ask why and suggest improvement is critical to success
Ability to demonstrate compassion in the areas of life-threatening and chronic illness, grief and loss
Ability to work well independently as well as collaboratively in a team environment
Experience with HCM systems (UKG is a BIG plus), EDI feeds, Business Intelligence reporting as well as advanced Excel skills are required
Preferred
Previous experience with Union environments is a plus but not a requirement
