Office Manager for Parish

The Archdiocese of Baltimore is seeking an Office Manager for St. Francis de Sales Catholic Parish in Abingdon, Maryland. The Office Manager will support the Pastor and core staff, serve as the primary contact for parishioners, and manage various administrative tasks, including scheduling and record keeping.

Non-profit Organization Management

Responsibilities

Responsible for VIRTUS, ensuring both adults and minors are in compliance with the requirements of the Office of Child and Youth Protection
Utilizes the full potential of the Ministry Platform database to track parishioners, donations and participation
Supports the Pastor in all administrative duties including development of staff meeting agenda, preparing and mailing correspondence
Serves as primary point of contact for external requests for scheduling meeting space. (Knights of Columbus, Ladies Auxiliaries). Coordinates all necessary facility space set up and equipment needs
Maintains the Parish Calendar, including scheduling activities, events meetings, etc
Manages timely maintenance of the sacramental record keeping system
Produces sacramental certificates upon request, and after sacrament is conferred at St. Francis de Sales Parish
Responsible for the timely completion of Archdiocesan reports (Office of CYP and the annual Consolidated Report)
Responsible for and maintains parish Safe Deposit log
Train and manage administrative support volunteers
Ensure all office equipment is maintained in proper working order
Maintain security of parishioner information
When possible draft grant proposals and supporting documents based on the funding requirements, submitting reports as necessary
Coordinates and trains the Money Counter volunteers. Responsible for following and implementing all proper procedures
Other duties as assigned

Required

High School graduate or equivalent
Excellent verbal and written communication skills, including an ability to welcome and serve
Must be bilingual: English and Spanish
Demonstrated ability to set priorities and organize work effectively and efficiently
Demonstrated ability to maintain effective record keeping systems
Ability to honor and maintain confidentiality
Experience in office management role including managing a support staff
Fluency with Microsoft Office Suite including MS publisher and Adobe
Experience with Ministry Platform a must
Experience working with software database programs and applications

Preferred

IT Experience helpful
Graphic Experience helpful
