Responsibilities

Use and maintain company databases (Oracle Aconex, internal drives, document logs) for project filing systems and databases
Receive, process, monitor, and expedite internal and external distribution of engineering and supplier documentation
Participate in document review processes and ensure compliance with project procedures
Operate reprographics and general office equipment to support documentation needs
Ensure consistent use of standardized company formats and procedures
Provide clerical and technical support including compiling and arranging data, running reports, and processing documents
Assist engineers and staff with document composition, editing, and production
Maintain comprehensive records and files, including electronic file structures
Support marketing-related activities such as preparing for conferences, trade shows, and internal events
Coordinate purchasing and inventory of office supplies and document assembly materials
Arrange travel and support scheduling needs for staff

Required

High School Diploma
Minimum of 2 years of job-related experience in document control or administrative support
Exhibits strong interpersonal skills and a collaborative mindset, contributing positively to team dynamics and cross-functional communication
Maintains a customer-focused attitude, ensuring internal and external stakeholders receive timely and accurate documentation support
Shows initiative and adaptability, with a willingness to learn new systems and improve existing processes
A high level of proficiency in Microsoft Office suite; Word, Excel, Teams, Outlook and PowerPoint is required with competency in software applications for database management
Upholds integrity and ethical standards in handling confidential and sensitive information
Applies attention to detail and accuracy in document handling, proofreading, and administrative tasks
Possesses effective time management and organizational skills, capable of managing multiple priorities in a fast-paced environment
Demonstrates professionalism and a positive attitude, representing the company well in all interactions
Supports a continuous improvement culture, offering ideas and feedback to enhance workflows and efficiency
Capable of working independently while also contributing to team goals and project success
Ability to pass and maintain security and drug screening is required
Successful candidate will be required to understand and comply with company policies, procedures and processes

Preferred

Additional and relevant education in business administration or a related field is a plus
Experience in an engineering environment
Experience with Aconex Software
