Administrative Support Specialist I - Senior Administrative Support Specialist

Oklahoma State University is seeking a highly organized and detail-oriented individual to serve as the administrative support for the Psychology Department's graduate programs and departmental operations. This role includes managing supply acquisitions, overseeing textbook orders, and supporting daily office operations while providing excellent service to faculty, students, and visitors.

Responsibilities

Serve as the administrative support for graduate programs and departmental operations
Manage all supply, equipment, and furniture acquisitions through OK Corral and PCard transactions
Oversee textbook orders each semester for PSYC, SPCH, AMIS, and Tulsa courses
Coordinate honorariums, research participant gift cards, and travel arrangements for graduate students and external guests
Support the daily operations of the front office, including reception, customer service, mail and package handling, key checkout, room reservations, and maintenance of departmental calendars and directories
Support the Directors of Graduate Studies, Clinical Training, and Experimental Programs through data collection, record keeping, admissions assistance, alumni database management, and event logistics such as colloquia and guest visits

Required

High School/GED
Administrative Support Specialist I: high school diploma/GED and one year of experience ($13.50- $16.50/hour)
Administrative Support Specialist II: high school diploma/GED and two years of experience ($15.00- $17.50/hour)
Senior Administrative Support Specialist: high school diploma/GED and three years of experience ($15.00- $20.00/hour)
Must have customer service, office/clerical experience handling various administrative duties and productivity software, including Word, Excel, Outlook and Adobe. Post-secondary education may be substituted for experience
Must have strong computer skills including Microsoft Office Word, Excel, Outlook, Adobe, excellent interpersonal skills, detail oriented, follows instructions in a timely manner, and follow-up with projects

Preferred

Bachelor's
high school diploma/GED and three years of experience
Have 2 years customer service, office/clerical experience handling various administrative duties and productivity software, including Word, Excel, Outlook and Adobe. Post-secondary education may be substituted for experience
