Administrative Assistant/Utility Billing Clerk
The City of Wayzata is seeking a detail-oriented Administrative Assistant/Utility Billing Clerk to join their Public Works Department. This role serves as the first point of contact for visitors and callers, providing administrative support and overseeing the utility billing process.

Responsibilities
Responds to requests for information or direct calls and visitors to appropriate individual or department, including Engineering, Parks, Streets, and Utility departments
Provides administrative support for all Public Works staff
Maintains records for three city cemeteries. Coordinates burials with family, funeral homes, and co-workers
Prepares various monthly, quarterly and annual reports
Maintains calendars and schedules the tennis courts and seasonal workers
Safety committee chairperson for the city. Coordinate monthly and quarterly meetings, prepare agendas and meeting minutes
Responsible for ordering, stocking and organizing the office supply area
Performs duties relating to processing of incoming and outgoing mail, including sorting, distribution and postings
Receives emergency calls, assesses urgency of issue and notifies appropriate person
Assists public and contractors with routing various permit applications
Updates and corrects information in database, including services, service rates and surcharges, meter information and billing information
Sets up accounts, processes monthly utility bills, and investigates customer complaints
Produce reports, letters, memos or correspondence to customers and city staff
Prepare work orders for new meters, meter replacement and water shut off or turn on requests
Uploads and downloads data to specialized utility automated meter reading equipment
Recycling and Organics Chairperson. Coordinates with Hennepin County, prepares year-end reports, and ensures the city meets the requirements to receive SCORE funds
Performs other duties and assumes other responsibilities as apparent or assigned
Qualification
Required
High School Diploma or GED equivalent
Three years of administrative assistant experience, including database management, word processing and spreadsheet software
Principles and practices of providing excellent customer service
Previous experience with a municipal public works department
Preferred
Post-high school training in accounting principles
Previous accounting experience
Previous experience balancing heavy workloads and multiple tasks simultaneously
