Responsibilities
Manage relationship and partnership with property management for all common areas and Transamerica suite needs
Maintain the Managing Director – Transamerica Bermuda’s calendar to ensure they have the necessary meeting prep
Partner with other administrative assistants to plan meeting and travel arrangements for senior level management. Provide location specific information to site visitors as needed (hotels, restaurants, directions, etc.)
Greet and support all visitors and team members to ensure they have the necessary office space and accommodations
Manage the office space assignments and conference room bookings, as well as setting up video meeting capabilities
Work with leadership on board materials and ensuring all materials are properly reviewed
Coordinates all materials for BMA meetings, lawyer meetings and other partner meetings by ensuring materials are reviewed, filed, printed and provided to attendees
Maintain filing calendar and evidence of filing while ensuring this information on the Bermuda SharePoint is accurate and up to date
Manage equipment and furniture needs within the Transamerica suite, as well as maintain office supplies and basic refreshments for all common areas
Point of contact for Wi-Fi connectivity and troubleshooting any connectivity issues between laptops and desktop routers and monitors
Coordinate and oversee a variety of location functions and social activities, including but not limited to external and internal customer site visits, vendor activities, internal meetings, and employee engagement gatherings
Ensure appropriate contracts are on record for vendors and services, processes invoices and handle expense management
Direct all aspects of space planning and utilization, including charge backs to individual business units
Create and maintain location-specific policies, such as business continuity plans, call tree and evacuation plans
Other duties as assigned based on business needs
Qualification
Required
Five years of work experience with a high level of administrative and technical skills, and discretion to handle confidential information
Leadership skills; relationship builder; analytical thinker
Excellent verbal, written, and presentation skills
Ability to work directly/effectively with senior level management, internally and externally
Excellent problem solving skills
Ability to work under pressure
Excellent decision making skills
