Data and Contract Coordinator, SkillSpring

The New Jewish Home is seeking a full-time Data and Contract Coordinator for its SkillSpring Department. This role involves managing data, documentation, and reporting functions essential for compliance with various grants and contracts while also monitoring program quality and alumni success through data analysis.

Responsibilities

Maintain accurate and timely documentation of grant- and contract-related expenditures, deliverables, and outcomes for city, state, federal, and philanthropic funders
Support internal stakeholders in preparing for audits, monitoring visits, and interim/final reports by compiling required financial and programmatic documentation
Collaborate with Finance, Development, and Program teams to track contract budgets and ensure expenses align with allowable cost categories
Enter and manage data in funder-specific platforms (e.g., DYCD Connect, Work-source1, NYC Talent Apprenticeship Accelerator) and internal systems (e.g. CitySpan) to support grant compliance and reporting
Analyze and prepare data for funder reports and other communications
Develop, maintain, and optimize reporting dashboards to track contract milestones, deliverables, and alumni engagement across multiple funders and cohorts
Use data to monitor program outcomes, identify trends, and support continuous quality improvement in real-time
Ensure alumni follow-up outreach is conducted at 3-month, 6-month, and 12-month intervals by maintaining contact tracking systems and coordinating with program staff
Use data to monitor CNA testing outcomes and ensure that participants who do not pass the exam receive support and opportunities to retake it
Track graduate employment outcomes and collaborate with program staff to ensure SkillSpring alumni are supported in securing jobs post-graduation
Assist in preparing recurring and ad hoc reports for SkillSpring leadership, external funders, and regulatory agencies
Support process improvements to streamline data entry, documentation, and contract tracking procedures
Help monitor timelines and submission deadlines to ensure compliance with funder and internal requirements

Required

Bachelor's degree in Public Administration, Nonprofit Management, Business, Data Analytics, or a related field preferred
Two or more years of experience in grants management, contract compliance, or program data reporting—ideally within a nonprofit, education, or workforce development setting
Advanced Microsoft Excel skills, including pivot tables and complex functions; comfort with macros is a plus
Proficiency in SQL for data extraction and manipulation
Understanding of relational databases, data structures, data integrity, and reporting principles
Exceptional attention to detail and organization
Strong analytical and problem-solving skills with a clear communication style
Ability to translate business questions into data requirements and deliver practical insights
Collaborative, proactive mindset and ability to handle confidential information with discretion
Willingness to learn new tools and improve processes
