Facilities & Contract Coordinator

The Facilities and Contract Coordinator will manage facility maintenance, safety, and security, ensuring proper operations across all Yorktel facilities and collaborating with various teams for effective service delivery.

Responsibilities
Perform, plan, coordinate, and control all facility maintenance, safety, and security to ensure proper safety, sanitation, and mechanical functions for all Yorktel facilities, including grounds and equipment
Coordinate all maintenance work to properly maintain all Yorktel facilities and grounds
Collaborate with senior managers and executives on budgeting for facility needs as requested
Create reports related to maintenance, repairs, safety, and other occurrences as requested by senior management
Evaluate maintenance requests, set priorities, and process work assignments
Establish and maintain a reliable network of outside vendors and suppliers to ensure cost-effective and timely support of the maintenance function
Assess and hire contractors or subcontractors to perform maintenance
Ensure all permits and licenses are maintained
Perform routine inspections of all systems and equipment, complete routine repair work and other general maintenance tasks
Establish and communicate the level of quality and safety expected in the performance of maintenance tasks
Manage setup and maintenance of new locations
Complete requests for certificates of insurance as required by Yorktel personnel
Work collaboratively with internal departments to resolve concerns and ensure successful coordination of products and services
Protect confidential internal and external information using discretion and sound judgment based on company policies and procedures
Other duties as assigned
Qualification
Required
Strong experience in building management and maintenance
Excellent organizational skills and ability to follow up regularly with vendors
Strong attention to detail and follow-through
Ability to work both collaboratively and independently
High levels of professionalism and integrity
Strong written, verbal, and interpersonal communication skills
Strong negotiation and problem-solving skills
Good customer service and teamwork abilities
Proficiency in Microsoft Office 365 applications (Word, Excel, Outlook, MS Project)
High School Diploma required
2–5 years of relevant experience in facilities management, maintenance, or related fields
If permissible by applicable law, may be required as a condition of employment to complete a background check and/or drug test if required by law or by current or future contracts/clients/vendors, etc
Ability to travel as required
Must be able to lift up to 50 lbs
Requires frequent sitting, standing, and walking
Valid U.S. driver's license
Preferred
Bachelor's degree in business administration or equivalent work experience preferred
