OFFICE SUPPORT SPECIALIST

The Office Support Specialist is responsible for a variety of administrative, accounting, and data management functions to support efficient facility operations, ensuring accurate data management and compliance with operational protocols.

Responsibilities

The Office Support Specialist oversees and processes all client-referrals by entering, tracking and maintaining referral and caseload data with a high degree of accuracy
Manages caseload assignments of all direct care staff to ensure fairness, balance and compliance with regulatory standards
The Office Support Specialist generates, distribute and maintain master trackers related to referrals and caseloads
Prepares reports and analyses related to referral and caseload data
The Office Support Specialist identifies and resolves discrepancies in data to maintain accuracy and consistency
Collaborates closely with Director, QA & Training Manager, Clinical Supervisor and direct care staff to ensure data aligns with operational and clinical needs
The Office Support Specialist performs accounting duties, including daily reconciliations and maintenance of P-Card transactions
Assists HR Manager in the hiring process. Ensures completeness of applications and schedules interviews as needed
Assists Director in generating DPSCS and/or GEO-based reports (monthly and quarterly)
Maintains a staffing roster to ensure accurate employee counts employee vacancies
Working knowledge of the Personnel Policy and Operations Manual to ensure compliance with government requirements and accurate recordkeeping
Types and proofs correspondence and reports which may include formal and informal disciplinary action reports (including SIRs) for both clients and employees on monthly and quarterly facility reports
Receives, opens and dates stamp incoming mail. Distributes mail within one hour of receipt so that time-limited documents can be acted upon immediately
In the absence of the HR Manager, may assist in pick-up and delivery services for office supplies, if requested to ensure continuity of operations is maintained
Maintains confidentiality obtained through job duties regarding clients, employees, vendors, outside agencies, etc., so that sensitive information is only given on a "need to know" basis
Complete in-service training to meet the requirements for continued professional selfdevelopment. Participates in all DPSCS and GEO-based meeting by sharing observations and recommendations regarding the facility, clients and staff relations to identify and solve problems. Record the minutes, type them, and distribute to appropriate persons
The Office Support Specialist may prepare correspondence and perform other administrative duties as assigned to ensure efficient administrative and office operations

Required

High school diploma or equivalent required
Three (3) years of general office, bookkeeping or accounts payable experience
Extremely detail-oriented, resourceful, enjoy working with people and tackling new projects, and thrive in a collaborative team environment
Ability to handle a variety of simple tasks that are routine in nature, while keeping work flowing in an orderly manner
Highly skilled in Microsoft Excel with the ability to create, manage and analyze large datasets
Strong attention to detail and commitment to data accuracy
Strong organizational and time management skills with the ability to handle multiple priorities
Excellent communication and interpersonal skills
Ability to work independently while contributing to a collaborative team environment
Analytical thinker with the ability to identify trends, gaps and opportunities in referral and caseload data
Adaptable and comfortable working in fast paced correctional setting

Preferred

Associate's degree or certification from a business school or college education preferred
