Deputy Court Clerk
NEOGOV is hiring for the position of Deputy Court Clerk in the Town of Smyrna. This role involves providing administrative and clerical support for the court system, ensuring excellent customer service, and maintaining accurate records for various court proceedings.

Responsibilities
Being officially sworn in as a Deputy Court Clerk, granting the authority to carry out the responsibilities of the elected Court Clerk
Notifies prosecutors, officers, defendants, plaintiffs, and all other parties of scheduled court dates; including but not limited to: receiving and filing notice of appearance, waivers of arraignment and issuing subpoenas
Attend court and maintain all dockets
Keep minute entries as required
Maintain and organize paperwork for each case file during court
Promptly make any and all entries necessitated by statute
Notify the TBI of criminal dispositions as soon as practical but no later than 3 business days of the criminal proceedings
Submit convictions to the Department of Safety within 30 days
Prepare all cases that have been bound over to Circuit Court
Maintain confidentiality of records pursuant to TCA 16-15-303
Maintains an accurate and detailed record and summary report of all financial transactions and affairs of the court
Perform customer service functions; assists customers at the window, answers phones, provides information/assistance regarding department services, activities, procedures, fees, or other issues; distributes forms/documentation as needed; responds to routine questions, complaints or requests for service; initiates problem resolution
Enters payments; prepares bank deposits
Prints citations, prepares docket, and keeps record of Traffic School attendance
Prepare files and dockets for contested traffic citations and environmental citations
Prepare files and dockets for juvenile traffic citations
Attend court and keep dockets
Disposition entry and conviction reporting
Issues search warrants and felony arrest warrants upon a finding of probable cause and pursuant to requests from on-duty law enforcement officers and the general public in accordance with the procedures outlined in title 40, chapters 5 and 6
Prepares and issues criminal summons for the general public as prescribed by law
Reviews and confirms probable cause for misdemeanor citations and secures the appropriate signatures and affidavits for the citations
Issues mittimus following compliance with the procedures prescribed by § 40-5-103
Appoints attorneys for indigent defendants in accordance with applicable law and guidelines established by the presiding general sessions judge
Sets and Approves bonds and the release on recognizance of defendants in accordance with applicable law and guidelines established by the presiding general sessions judge
Issues injunctions and other appropriate orders as designated by the general sessions judges in cases of alleged domestic violence
Has authority to order source hearings prior to defendant's release from jail, pursuant to local court rules
Issues ex parte orders of protection for the chancellor on weekdays, when the chancellor is not available, and on weekends, holidays, and at any other time when the chancellor is unavailable to set bond
Maintains a thorough knowledge of TCA Section 40-1-111 through 40-5-201 pertaining to the appointment of Judicial Commissioners by the county legislative body
Maintains a thorough knowledge of all legal transactions and proceedings associated with General Sessions and Circuit Court operations, including applicable sections of the Tennessee Code Annotated, general manual for Clerks of the Courts, and Local Rules of the Court
Maintains a thorough knowledge of federal, state, and local laws pertaining to the rights of defendants, victims, and witnesses involved in legal matters before the court
Maintains a thorough knowledge of the regulations governing the preparation and issuance of warrants for individuals suspected of criminal activity
Consistently adhere to all policies, procedures, and protocols associated with General Sessions Court operations
Interacts tactfully and professionally with defendants, witnesses, family members, law enforcement personnel, attorneys, and the public
Performs data entry activities in a consistently accurate manner and accounts for all fees and fines received by the court
Prioritizes job-related activities to ensure the efficient operation of the court and completion of all assignments in a timely and thorough manner
Responds quickly and effectively to inappropriate and/or violent behavior when required
Conducts research as needed
Maintain a professional and courteous manner in all functions of the job, including contact with the general public and other governmental entities
Works with the auditor
Any other duties as assigned by the Chief Deputy Court Clerk and Court Administrator
Conduct behavior at all times to reflect positively on the customer's perception of the Town
Promote a teamwork environment and assist co-workers when necessary
Help maintain the cleanliness of machines, work areas, and facilities
Provide coverage in the absence of other personnel
Collection and entry of payments by phone and in person
Performs various administrative functions
Qualification
Required
Must be at least 18 years of age
Must possess a valid Tennessee Driver's License
Must have a bachelor's degree in criminal justice, pre-law, paralegal studies or related area of legal studies
Minimum of two (2) years working in a law firm or court-related position or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for the position
Must complete the required training to earn Judicial Commissioner status within 12 months
