Building Operations Coordinator

Responsibilities

Serve as a point of contact and support for Yale SOM Facilities customer service operations. Maintain effective communication with all customer groups and identify opportunities for improving services
Coordinate and support execution of all event requirements and setups in collaboration with the SOM Events and the SOM Hospitality departments
Inspect SOM buildings and surrounding grounds. Work to optimize facilities and grounds in supporting the mission of the school
Inspect and maintain classrooms and public spaces multiple times a day to identify areas that require immediate attention and initiate action necessary to correct problems, and follow-up with internal service providers to ensure satisfactory service completion
Process day-to-day transactions: Yale SOM Facilities service requests, FAMIS work orders, START requests, EMS, check requests, invoice payments, journal entries, purchase requisitions, purchasing card. Use the electronic work order system to manage facilities work order requests
Carry out fiscal, operational, and administrative duties to support the operation of the Yale School of Management (Yale SOM). Coordinate the day-to-day operations including local business process system design and implementation, reconciliation, statement production and distribution, procurement, deposits, maintenance of logs, and all other daily activity
May reconcile monthly financial statements and transactions from central Facilities and telecommunications offices. Investigate and document unexplained costs
Conduct point-of-sale system transactions and satisfy other customer requests at the transaction window, on the phone, by email, or through the online service center
Coordinate staff intake/exit tasks related to card access, keys, phones, and room signs
Help coordinate Yale SOM Facilities communications via e-mail alerts, phone system, e-news, and web pages
Receive/investigate/resolve facilities requests and complaints; provide occasional assistance to the Yale SOM Facilities Assistant when tasks require two people
Coordinate ID card access, alarm codes, and electronic lock access
Use building key management systems to issue, track, and receive keys
Provide support for Moveable Equipment Inventory (MEI) process
Complete other related duties and projects as needed or as assigned

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education

Preferred

Knowledge of property management and building trades and experience with small hand and power tools (e.g., cordless drill and screwdriver)
