Community Services Program Assistant - Part Time

Responsibilities
Answers phone, transfers calls, and takes messages. receives and directs visitors
Assists in or maintains inventory and orders supplies
Assists with program activities in order to ensure a safe and pleasant environment for participants and staff
Assists with programs and activities to promote the social and emotional well-being of elderly population in Fairfield and those who use the Senior Center
Assists with senior center programs, including class logistics, attendance tracking, classroom setup, and event support
Assists with technology setup, troubleshooting, and supply inventories
Compiles information from standard sources and prepares reports
Copies and collates materials
Creates, maintains, and updates departmental records, documents, spreadsheets, and reports
Enters and retrieves data on personal computers and computer terminals
Handles routine requests for information or assistance over the telephone or in person
Maintains logs, sets up and maintains records and files according to established procedures (e.g., Alpha, numeric or chronological order)
Makes changes per instructions or as authorized, verifies information through cross-referencing of existing computer and/or manual files or inquiries by phone or form letter to senders or other work units
Performs a variety of basic and repetitive processing tasks, e.g., sorts, numbers, codes and files materials, reviews materials for accuracy and completeness (ensures categorical information completed as required)
Performs daily office duties, including copying, filing, mail processing, answering phones, and supply ordering
Prepares occasional donor letters, including thank-you notes and in memoriam correspondence
Prepares routine forms and correspondence making minor revisions and additions, and receives, sorts and distributes mail
Processes membership forms, enters membership data, and registers members for classes in MySeniorCenter (MSC)
Provides professional and courteous customer service in person, by phone, and via email
Provides setup assistance for all programs and helps maintain a clean, organized and safe senior center
Searches files for information
Supports program planning, including movie selection, events, and communications
Types a variety of forms, cards, labels, envelopes, routine memos, etc
Performs related duties as required
Qualification
Required
High School Diploma or GED
Two (2) years of responsible community based, human and social services or senior program experience, or an equivalent combination of education, work experience and training
Knowledge of general recordkeeping and administrative practices
Knowledge of grammar, spelling, punctuation
Knowledge of Microsoft Office Suite, Excel, Publisher or Power Point and multifunctional copiers
Knowledge of modern office practices, procedures, equipment, and standard clerical techniques
Knowledge of practices of senior center or recreational programming typical in a senior center
Knowledge of senior population needs and issues that arise as part of the aging process
Some knowledge of social trends and indicators and their impact on senior services
Basic skills in performing arithmetic computations

Incumbents in this class may be required to work a schedule that includes weekends, evenings and holidays
Incumbents in this class may be required to travel
Incumbents in this class may be required to obtain and maintain CPR and First Aid certifications
Incumbents in this class may be required to possess and retain a valid Motor Vehicle Operator's license
