Information Governance - Matter Mobility Analyst

Taft Law is a full-service law firm seeking an Information Governance-Matter Mobility Analyst to support their Information Governance team. The role involves executing policies regarding the transfer of digital client matter records and ensuring data integrity while providing exceptional service to clients.

Responsibilities

Execute and monitor Taft’s policies and procedures regarding the transfer of digital client matter records into and out of the firm
Transfer digital records to and from the Taft’s document management system and other designated repositories of record
Ensure inbound digital records are correctly classified and assigned to the correct client matter workspaces
Ensure outbound digital records are accurately documented and memorialized into Taft’s records tracking application
Responsible for utilizing Secure Send or other FTP server technology, security and encryption controls, metadata structure, and database reporting
Assist in the coordination of the Matter Mobility processes, including but not limited to, confirmation of all vital documentation and updating Taft’s tracking system while ensuring data integrity is maintained
Process client requests for transfers in a timely and complete manner
Export and coordinate the export of requested data from Taft’s Document Management System, docketing systems, e-discovery systems, and other identified repositories of record
Work with various data formats to troubleshoot data transfer issues and problem resolution
Serve as a resource to answer any questions regarding the transfer process
Special projects and additional duties as assigned and directed by management

Required

Associate's degree and minimum of 2+ years of related work experience, or equivalent combination of education and work experience
Experience managing physical and electronic documents, files and containers
Experience providing exemplary customer service in a fast-paced environment
Strong knowledge of PC configuration and technical troubleshooting, including familiarity with file systems & formats
Knowledge of legal software and other IT applications/software (e.g. iManage, Secure Send, Windows Office Suite, Windows Server)
Knowledge of best practices for managing and transferring large datasets
Knowledge of data privacy and methods to keep data secure, such as encryption, MFA, etc
Knowledge and proficiency in Microsoft Office Suite with the ability to learn and adapt to new technologies
Experience in providing client technical support
Exceptional written and communication skills, including the ability to effectively communicate with a variety of audiences in the legal environment
Knowledge of Information Governance principles and practices
Strong critical thinking and problem solving skills
Attention to detail and quality-focused work along with teamwork, patience, and a desire to help clients and staff
Ability to multi-task and meet tight deadlines
Professional demeanor and strong work ethic

Law firm experience, preferred but not required
