Full-Time College and Career Readiness Intake and Retention Specialist

Responsibilities
Oversee the intake process for College and Career Readiness (CCR) programs from initial contact through scheduling of pre-tests via phone, text, or email
Coordinate and conduct student intake and orientation sessions across both counties
Communicate with potential students to reduce no-shows and ensure smooth transition into classes
Ensure accurate completion of all required forms including federal LEIS, FERPA, Leon’s Law, Minor forms, and attendance documentation for orientation
Assist coordinators with minor interviews and collaborate to schedule and promote orientation events
Maintain updated orientation materials and facilitate monthly orientation sessions
Discuss individual goals with students and help determine educational plans based on their needs and aspirations
Become certified to administer TABE and CASAS assessments, including in correctional settings
Develop and maintain monthly pre- and post-testing schedules to maximize student participation and meet post-test requirements
Administer or confirm completion of placement and progress testing for all incoming students
Monitor student attendance to identify eligibility for post-testing and ensure timely assessments per NC CCR Assessment Policies
Maintain accurate testing records and ensure compliance with state and federal guidelines
Provide feedback to students and individualized profile reports to instructors for instructional planning
Work closely with the CCR Data & Accountability Specialist to track academic progress
Develop and implement outreach strategies to recruit new students
Represent the program at community events, partner meetings, and referral agencies
Maintain relationships with local organizations to support recruitment efforts
Assist with student recruiting and outreach as needed
Monitor student attendance and progress; follow up with at-risk students to discuss alternatives or supportive services
Collaborate with coordinators and instructors to develop and implement retention strategies to include goal-setting, regular check-ins, and referrals to support services
Address the special needs of underrepresented populations (e.g., minorities, students with disabilities, economically disadvantaged) by staying informed about relevant programs and resources and ensuring students are aware of them
Assist with graduation planning and participation
Support the creation and implementation of Integrated Education and Training (IET) programs and Career Pathways
Embrace and utilize technology to maximize efficiency and accuracy in data management
Know and follow NCCCS, NRS, and RichmondCC policy guidelines
Attend ongoing professional development including staff training, conferences, and other college functions as assigned
Communicate effectively with the team and respond promptly to emails and phone calls
Availability may include both day and evening hours
Qualification
Required
Strong oral and written communication skills
Ability to work independently with minimal supervision
Must be able to meet and deal effectively with students, staff, instructors, and the general public
Demonstrate empathy and understanding for the adult learner
Skills in critical analysis
Record keeping experience
Ability to evaluate and organize data
Ability to develop documents
Remain up to date on NC CCR Testing Policies
Must be flexible, willing to travel between class locations, including correctional facilities, and work occasional evening hours
Proficiency in MS Office required
Ability to learn ADVANSYS
Bachelor's degree in education or closely related
Experience in adult education and Title II WIOA programming
Preferred
Bi-lingual (Spanish) preferred but not required
